Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have completed a high school diploma
Experience: Candidates should have at least one year of demonstrated experience as an administrative or executive assistant or office administrator

Physical Requirements:

  • The candidates should have a strong ability to organize and coordinate their work and the work of others using tools like MS Outlook, MS Word, MS Excel, and office equipment
  • The candidates should be able to work in a team environment with frequent and daily interruptions
  • The candidates should be willing to attend training provided by the Department to advance required skills
  • The candidates should have excellent interpersonal, organizational, and time management skills, with the ability to prioritize daily work and multitask

Other Requirements:

  • The candidates should have experience in fire or emergency services and a one-year post-secondary certification in office administration
  • The candidates should demonstrate computer knowledge in Microsoft Office Suite, SharePoint, and Versatile
  • The candidates should have a positive attitude with a friendly and helpful demeanor and possess exceptional attention to detail and problem-solving skills, complemented by excellent oral and written communication skills, especially in editing reports for spelling and grammar
  • The candidates should possess extensive knowledge of office management systems and procedures, demonstrating discretion and confidentiality with sensitive material
  • The candidates should possess a valid “G” Ontario driver’s license in good standing and be prepared to undergo skills assessment testing
  • The candidates should be aware that this position is located in the office at Fire Headquarters five days per week, based on the operational needs of the department

Responsibilities:

  • The candidates should be able to provide results-oriented efficiencies, administrative, and customer support to the Office of the Fire Chief on sensitive or complex matters
  • The candidates should be able to handle confidential and sensitive materials with absolute discretion at all times
  • The candidates should be able to coordinate and facilitate daily workflow activities, programs, and processes for the Deputy Chief of Operations and Deputy Chief of Support Services and prepare correspondence for the Fire Chief and Deputy Chiefs, ensuring accuracy and professionalism
  • The candidates should be able to maintain calendars, schedule meetings, and coordinate minutes and agendas for grievance and labour relations meetings while maintaining departmental records and lists
  • The candidates should be able to generate reports and perform data analytics  and demonstrate exemplary organizational and communication skills in a fast-paced, results-oriented environment
  • The candidates should be able to work independently and as part of a team while completing assigned research
  • The candidates should be able to provide backup support to the Administrative Coordinator to ensure the efficient operation of the Office of the Fire Chief
  • The candidates should be able to work on-site at Fire Headquarters five days per week based on the operational needs of the department
