Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have completed a 1-year secretarial or business administration diploma
Experience: Candidates should have three years experience in the relevant field

Physical Requirements:

  • The candidates should have demonstrated ability to work under limited supervision to prioritize work demands and meet deadlines while exercising appropriate judgment

Other Requirements:

  • The candidates should have an equivalent combination of training and experience may be acceptable
  • The candidates should have strong written and verbal communication skills, including editing
  • The candidates should have excellent organizational, interpersonal skills, and a high degree of judgment and initiative in responding to matters as they arise
  • The candidates should have the ability to communicate effectively with a variety of people, including clients, community members, key partners, industry members, and all levels of government staff
  • The candidates should have demonstrated organizational skills, including the ability to run a bring-forward or reminder system, coordinate and arrange meetings, and manage travel/accommodations
  • The candidates should have experience with ordering and receiving supplies and processing invoices for payment
  • The candidates should have experience with general filing, records management, and database management
  • The candidates should have experience contributing to the development of administrative process improvements and standards

Responsibilities:

  • The candidates should be able to support ANSA by tracking routine and non-routine correspondence, memos, and documentation
  • The candidates should be able to respond to and direct incoming calls, emails, and inquiries efficiently
  • The candidates should be able to coordinate calendars, meetings, and agendas, and maintain filing records and retrieval systems
  • The candidates should be able to assist with monitoring budget-related documents and prepare reports and presentation materials accurately
  • The candidates should be able to perform other routine day-to-day operational tasks, including tracking and ordering supplies and maintaining office equipment
