Requirements:
Languages: Candidates must have knowledge of the English or French Language
Education:Â Candidates should have postsecondary education in administration and office technology, or an equivalent combination of education and work experience
Experience: Candidates should have minimum two years of demonstrated experience in a similar role
Physical Requirements:
- The candidates should have experience producing reports, Initiative, self-reliance, and good judgment are desirable qualities and Strong organizational skills
- The candidates should demonstrate the ability to produce high-quality work under pressure while meeting strict deadlines
Other Requirements:
- The candidates should have experience with computer systems and applications such as Windows, word processing software, spreadsheets, databases, the internet, and email
- The candidates should possess excellent communication, interpersonal, and customer service skills
- The candidates should have experience interpreting, explaining, and applying policies and regulations
- The candidates should have experience in bilingual administrative writing
Responsibilities:
- The candidates should be able to, under the guidance of the Director, Research and Program Support, assist with and perform a variety of tasks supporting the administrative operations of a department, specific program, or event. This includes ensuring compliance with applicable policies and procedures
- The candidates should be able to perform a variety of administrative tasks to support the operations of the department/program/event, such as entering and updating data, drafting and preparing a variety of documents, and managing schedules and mail, in keeping with uOttawa quality standards
- The candidates should be able to welcome people who arrive in person and respond appropriately to general requests for information from customers, guiding them in applying the general internal procedures of the department/program/event to provide high-quality service
- The candidates should be able to handle requests for information in person, by email, by phone, or by mail
- The candidates should be able to implement and maintain an effective filing and records management system to preserve the confidentiality of records and ensure that complete and accurate documentation is available for future reference or audit purposes
- The candidates should be able to maintain accurate records of key holders and related security access information for staff of the sector to ensure confidentiality of the records
- The candidates should be able to draft and update documents for internal use on procedures, processes, and systems related to the incumbent’s responsibilities
