Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have successful completion of Grade 12 or a related administrative or business certificate from an approved business school/college
Experience: Candidates should have a minimum of 2 years experience in providing clerical support to a team of professionals

Other Requirements:

  • The candidates should have experience in formatting documents, maintaining records, taking meeting minutes, and general office practices. Demonstrated experience of senior level/executive support
  • The candidates should have experience working with confidential material in a discreet and professional way and have experience managing executive calendars and travel arrangements
  • The candidates should have high attention to detail and a proven ability to manage multiple ongoing activities
  • The candidates should possess high proficiency in Microsoft Office Suite, Google applications including Gmail/docs/sheets/forms, and Adobe Acrobat Professional. Experience with POSSE is an asset
  • The candidates should possess exceptional organizational and time management skills, including the ability to prioritize and schedule work effectively and strong communication, customer service, and decision-making skills
  • The candidates should possess proven ability to build and maintain strong relationships with corporate departments, business partners, and customers is essential. Commitment to the team, office, and willingness to go the extra mile and ability to work independently and within the team
  • The candidates should demonstrate alignment with the Cultural Commitments of Safe, Helpful, Accountable, Integrated, and Excellent, fostering an environment for others to do the same. Responsibilities:

  • The candidates should be able to draft, format, and support the preparation of various documents, including council reports, briefing notes, memos, and correspondence
  • The candidates should be able to ensure adherence to corporate records management standards in terms of electronic filing systems and FOIPP practices
  • The candidates should be able to support the team with process documentation, file management and organization, file conversions, agenda preparation, and minute taking
  • The candidates should be able to work with administrative staff internally and at every level of government to respond to inquiries, schedule meetings, and support event planning
  • The candidates should be able to manage Council motions and corporate correspondence assigned to Intergovernmental Affairs and ensure these are tracked, actioned, and addressed in POSSE
  • The candidates should be able to assist with the budget process and monthly budget reporting, as well as data entry, reviewing, and processing corporate credit card transactions, invoices, and billings
