Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have completed an Office Administration Diploma
Experience: Candidates should have experience with information management applications

Physical Requirements:

  • The candidates should have the ability to effectively exchange information and the ability to work independently
  • The candidates should have the ability to maintain confidentiality and strong relationship-building skills

Other Requirements:

  • The candidates should have related office administration experience, purchasing experience, knowledge of office administration practices
  • The candidates should have knowledge of CSSD programs and services relating to children and families, knowledge of purchasing practices
  • The candidates should have proficiency with IM applications, provide a Child Protection Clearance Check satisfactory to the Employer
  • The candidates should provide a Certificate of Conduct satisfactory to the Employer,  provide a Vulnerable Sector Query satisfactory to the Employer

Responsibilities:

  • The candidates should be able to screen, channel, and respond to inquiries from both internal and external clients, provide administrative support to the Clinical Program Supervisor and Social Workers for effective program and service delivery
  • The candidates should be able to develop and establish office procedures to meet changing, track incoming and outgoing correspondence and ensure timely distribution
  • The candidates should be able to draft responses to routine correspondence independently, monitor and ensure timely responses for correspondence using HPRM or other tracking systems
  • The candidates should be able to type various documents, including letters, reports, memos, and briefing notes, liaise with other teams, zones, and Provincial Office to respond to inquiries and provide support
  • The candidates should be able to prepare purchase requisitions, ensure receipt of materials, and distribute them appropriately, assist the Clinical Program Supervisor in planning and resolving administrative issues
  • The candidates should be able to act on behalf of the Supervisor in transmitting assignments and decisions, coordinate travel arrangements and accommodations
  • The candidates should be able to organize meetings, prepare agendas, assemble documents, and record minutes, maintain the Attendance, Leave Management System for the team, provide front desk coverage
  • The candidates should be able to determine inventory needs and manage reordering processes, prepare documentation for Direct Purchase Orders, including obtaining telephone quotes
  • The candidates should be able to assist the clinical team in processing financial-based requests following financial delegation policies, contact vendors and clients to support financial transactions, assist with special assignments, initiatives, and other related duties
