Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have completion of High School diploma
Experience: Candidates should have 2 to 3 years experience in general office preferably in both the public and unionized environment

Other Requirements:

  • The candidates should have training in Office Administration or equivalent in a related field
  • The candidates should have completed a Diploma or certificate program in Business, Office Administration, or Records Management
  • The candidates should preferably have 2-3 years of experience (or equivalent co-op assignments) working in an office environment or in an administrative or data entry position
  • The candidates should possess practical knowledge of Municipal Government, MFIPPA, and applicable Legislation
  • The candidates should demonstrate strong Customer Service skills to handle inquiries and resolve issues in a professional and timely manner
  • The candidates should have Computer Proficiency in Microsoft Office or software and electronic document management systems
  • The candidates should possess Good Communication and People Management skills to interface effectively with internal or external customers and suppliers
  • The candidates should have HRIS Data Entry experience and consider Experience with PeopleSoft HCM

Responsibilities:

  • The candidates should be able to ensure that the central file storage is kept well organized and that all records or files can be readily available upon request while maintaining and protecting the integrity of the data and record management of the division
  • The candidates should be able to handle all incoming and outgoing mail or courier services and requests accurately and efficiently for effective distribution and retrieve files based on staff and management requests from the system deliver them to appropriate individuals, and update the records system accordingly to ensure accurate tracking
  • The candidates should be able to be accountable for all Administration time entry functions including ensuring information is completed accurately and submitted on time to Payroll Services for processing, and that documents are filed and stored based on policies in place and receive, organize, and prepare documentation for centralized filing on a daily basis, ensuring documents and files are coded and sorted appropriately
  • The candidates should be able to maintain up-to-date and accurate files, logs, correspondence, and documentation, using the corporate filing system, and ensure necessary sign-offs and approvals meet policies and confidentiality and electronically track and log relevant information to ensure files are traceable and accessible while maintaining and protecting the integrity of the data and record management of the division
  • The candidates should be able to review the City’s Record Retention By-Law on an ongoing basis to ensure the department’s records are properly addressed, categorized, and maintained within the record-keeping software and purge and prepare files for delivery to the archive or records storage center in accordance with the Records Retention By-Law
  • The candidates should be able to assist the support team and management, or as requested, in coordinating schedules and meeting requests, minute-taking, and greeting guests to ensure booking requests meet the needs of internal and external customers and act as a key front-line contact for all internal inquiries, meeting corporate service standards, legislation, best practices, policies, and guidelines
  • The candidates should be able to answer and log all incoming and outgoing calls pertaining to records management inquiries, prioritize requests to ensure a thorough understanding of customer needs, and resolve issues promptly and efficiently, directing calls and inquiries to the appropriate level for resolution and understand operational needs and make recommendations regarding the development, communication, and implementation of best practices
  • The candidates should be able to provide direct support, training, and information as required on records, Information Management policies, principles, and procedures, as well as recordkeeping software, to departmental staff and the HR team and coordinate new initiatives to ensure seamless delivery and provide proper training to staff
  • The candidates should be able to work well within diverse groups to support operational goals and objectives, demonstrating corporate values at all times and participate as a member of cross-functional teams and provide support or backup
