Location: 1 Temporary, duration up to 6 months, 1430 River Dr, Kenora, North Region, Vulnerable Sector Check, Credit History Check, Local Police Databases Search, PIP/NICHE/RMS
Division: Kenora Jail
Job Term: 1 Temporary assignment/contract for 6 months with possibility of extension

Requirements:

Languages: Candidates must have knowledge of the English Language.
Education: Candidates don’t need standard educational qualification such as high school, bachelor’s degree, a certificate or a diploma
Experience: Candidates need an experience with general office practices and procedures in order to provide clerical support services

Other Requirements:

  • The candidate should be able to demonstrate his/her strong administrative and communication skills
  • The candidate should have knowledge with general office practices and procedures in order to provide clerical support services
  • The candidate should have knowledge of filing systems to maintain and ensure safekeeping of administrative files ensuring security and confidentiality and also have the ability to acquire knowledge of relevant legislation including the Freedom of Information and Protection of Privacy Act as well as applicable Customer Service Standards
  • The candidate should have strong oral communication skills to prepare accurate correspondence, prepare meeting minutes, receive calls, take messages and provide information to callers and also have excellent interpersonal skills to work within a team environment
  • The candidate should have strong organization and time management skills in order to determine workload priorities with conflicting deadlines and control the appropriate information to release for requests and also have analytical and reasoning skills in order to ensure accuracy and review documents for completeness, following up on actions as required
  • The candidate should possess problem solving, research and investigative skills to identify and resolve discrepancies relating to accuracy of files/information, invoices and financial transactions
  • The candidate should have proficiency operating word processing equipment and software to prepare letters and reports as well as database filing systems in order to input and track information
  • The candidate should be able to provide security clearance and a criminal record check

Responsibilities:

  • The candidate should be able to perform a variety of administrative tasks in support of program/unit needs and also answer telephone calls, screen visitors and respond to inquiries
  • The candidate should be able to gather and verify information, contact appropriate staff and service providers and also prepare and distribute agendas, take and finalize minutes
  • The candidate should be able to oversee flow of information, track documents and monitor, sort and distribute incoming mail and also support quality assurance processes
  • The candidate should be able to establish bring forward filing systems and also reconcile expense statements and complete appropriate paperwork for records
