Requirements:

Languages: Candidates must have knowledge of the French and English Language
Education: Candidates should have completion of one-year Community College diploma in business administration or secretarial science
Experience: Candidates should have 1 to 2 years of administrative support experience

Physical Requirements:

  • The candidates should possess strong administrative skills, including the ability to maintain accurate records and manage general office tasks
  • The candidates should be well-organized, detail-oriented, and possess a superior level of keying accuracy when transferring data from handwritten forms
  • The candidates should be able to juggle several conflicting priorities effectively and enjoy working with the public and have a demonstrated interest in mental health and addiction populations
  • The candidates should be able to work independently and with a collaborative team within a fast-paced environment
  • The candidates should demonstrate sound judgment and the ability to interpret and apply policies and procedures and be flexible, adaptable, and customer-service oriented

Other Requirements:

  • The candidates should have a diploma in medical administration and  secretarial, administrative experience in healthcare, with preference given to those with this background
  • The candidates should have sound analytical and problem-solving skills and proficiency with Word, PowerPoint, Excel, and the ability to learn new computer software systems
  • The candidates should be familiar with electronic health records and have an understanding of medical terminology and be familiar with ICARE, PM Office, and Webex
  • The candidates should possess superior written and verbal communication, interpersonal, and organizational skills to deliver exceptional patient care
  • The candidates should have experience dealing with clients, staff, and external agencies from diverse cultural and ethnic backgrounds, demonstrating a high level of tact and diplomacy
  • The candidates should be bilingual (French and English) and proficient in a second language

Responsibilities:

  • The candidates should be able to perform a variety of secretarial and administrative duties, including answering the clinic information phone line and providing excellent customer service and accurate information to callers
  • The candidates should be able to manage electronic files and handle administrative tasks related to referrals
  • The candidates should be able to liaise with information specialists, clinician colleagues, and other departments, both within CAMH and with external agencies, to meet client and program
  • The candidates should be able to register clients in the Centre’s ICARE system and schedule appointments for clinic visits
  • The candidates should be able to support the interdisciplinary team, including information specialists, clinicians, and physicians, in meeting the needs of the program
  • The candidates should be able to work independently in a fast-paced, client-centered outpatient environment, ensuring high-quality customer service
  • The candidates should be able to foster a workplace that embraces diversity, encourages teamwork, and complies with all regulatory and legislative requirements
