Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have completion of a 3-year diploma or degree in business administration, communications and project management
Experience: Candidates should have 5 years of related experience in an administrative or project management role

Other Requirements:

  • The candidates should have preferably in a post-secondary environment and familiar with college systems
  • The candidates should be proficient with computer technology, including but not limited to computerized databases, spreadsheets, and word processing skills

Responsibilities:

  • The candidates should be able to proactively research, plan, coordinate, and execute day-to-day operational processes within the portfolio of the Associate Dean with respect to workload planning and coordinate and administer human resource activities, including workload assignments for full-time and contract faculty and staff, teaching and non-teaching assignments
  • The candidates should be able to compile and analyze information for Standard Workload Forms (SWFs) and Non-Full-Time teaching contracts, ensuring compliance with the Collective Agreement and verify paperwork, process payroll documents, determine available budgets per account codes, confirm Ontario Work Study Program status, and conduct payroll verifications, investigate and reconcile payroll anomalies, including resolving payroll issues
  • The candidates should be able to manage payroll documentation for faculty contracts, non-teaching academic contracts, part-time support/student contracts, and special payments for guest lecturers, organize and process recruitment activities, which may include resume screening
  • The candidates should be able to manage and coordinate the onboarding and orientation of new employees and track faculty and staff absences and make payroll adjustments as necessary, including remuneration for replacement faculty
  • The candidates should be able to manage and analyze workload data accuracy and integrity using multiple college systems such as DCU, SAL, and PeopleSoft and research, plan, and action day-to-day operational processes related to space and resource allocation within the portfolio of the Associate Dean
  • The candidates should be able to initiate and execute semester scheduling in collaboration with relevant stakeholders and collect, interpret, and analyze scheduling data to optimize student, faculty, space resources, and classroom timetables
  • The candidates should be able to identify and proactively resolve timetable and scheduling issues and ensure faculty and staff workload, scheduling, and accommodation align with the Collective Agreement and rectify discrepancies in consultation with stakeholders
  • The candidates should be able to communicate with discretion, confidentiality, diplomacy, and sound judgment, escalating issues and respond to and resolve issues proactively, including making urgent referrals and diffusing conflicts, particularly during peak periods
  • The candidates should be able to act as the first point of contact for internal and external inquiries to the Associate Dean, including student concerns and complaints and collect, organize, and analyze relevant data from multiple sources to identify discrepancies and support problem-solving
  • The candidates should be able to interpret and apply relevant college policies and collective agreements, providing information to impacted stakeholders and collect, review, and analyze financial data related to the Faculty’s performance, assisting in budget monitoring and decision-making and analyze and provide projected forecasts for class and specialized space hours required for budgeting purposes and liaise with external vendors as required, processing purchases and expenses within pre-set limits and perform other duties
