Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have completed a one-year certificate in Office or Business Administration
Experience: Candidates should have at least three years of related administrative experience

Physical Requirements:

  • The candidates should be able to handle multiple tasks and prioritize effectively

Other Requirements:

  • The candidates should have intermediate proficiency in using office equipment and software
  • The candidates should have experience in event management and administrative support
  • The candidates should have excellent communication skills, both in person and via phone or email
  • The candidates should have strong analytical and customer service skills, be able to obtain a security clearance and provide proof of qualifications

Responsibilities:

  • The candidates should be able to provide customer service by greeting, receiving, and checking in visitors daily, provide and coordinate site tours of the Wave center
  • The candidates should be able to book event spaces, schedule staff, and manage conflicts in space usage
  • The candidates should be able to prepare, set up, and take down equipment and rooms for events, including supporting catering orders, AV requirements, and ensuring rooms are clean and ready for the next event
  • The candidates should be able to ensure visitors use the space respectfully and maintain cleanliness of work areas, including managing office supplies and specialized 3D printing
  • The candidates should be able to handle all administrative duties, maintain communication boards, and manage the booking site for events
  • The candidates should be able to send out and compile data from post-event surveys, process payments, and manage chargebacks for space usage, triage Wave emails and coordinate courier deliveries
  • The candidates should be able to support first aid and emergency response within the building, ensuring effective communication with customers and staff
  • The candidates should be able to provide backup support to the general IT administrative team
