Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have completion of three year University degree
Experience: Candidates should have five years of progressively responsible operational and academic administrative experience

Physical Requirements:

  • The candidates should have the ability to work under pressure and establish priorities for themselves and those they supervise using strong coordination, collaboration, and team-building skills

Other Requirements:

  • The candidates should have the ability to relate to and communicate effectively (verbal and written) with academic and administrative personnel and students working or studying at all levels within a post-secondary and research institution
  • The candidates should have a clear understanding of academic administrative and office procedures, including supporting student program development
  • The candidates should possess strong computer skills and knowledge of university software packages, including but not limited to Banner (especially SASSECT for timetabling, PHATIME for leave reporting), DCU (timetabling), WordPress (website), and relevant Microsoft Office Suite software (Word, Excel, and Access), as well as F.A.S.T (for managing operating and research budgets)
  • The candidates should possess strong supervisory and conflict resolution skills with an emphasis on collaboration and team building and demonstrate strong interpersonal and problem-solving skills
  • The candidates should have experience supporting undergraduate and graduate students and programs, as well as program development and experience in supervising full and part-time staff
  • The candidates should have experience administering departmental operating and research budgets and reconciling accounts under the principles of sound financial stewardship
  • The candidates should possess a good understanding of and keep abreast of ongoing changes to the department’s and university’s general rules, policies, and regulations, as outlined in both the annually-revised Undergraduate and Graduate Calendars and the Handbook for New Students, as well as the numerous Collective Agreements governing employee relations
  • The candidates should have the ability to recognize the need for change and develop plans for change and ability to work with minimal supervision, demonstrating sound judgment, initiative, resourcefulness, and reliability
  • The candidates should possess maturity, integrity, and the ability to use tact, diplomacy, good judgment, sensitivity, and discretion in matters of confidentiality or when dealing with students and faculty from varying cultural and academic backgrounds

Responsibilities:

  • The candidates should be able to report to and provide support to the Chair in coordinating academic, personnel, and budgetary matters of the Department on a day-to-day basis, according to the operational needs and goals of the department as communicated by the Chair
  • The candidates should be able to ensure the smooth and efficient operation of all administrative and budgetary processes in the department
  • The candidates should be able to supervise the Graduate Programs Administrator and other support staff on all administrative issues, ensuring compliance with administrative policy, procedures, and regulations of the University
  • The candidates should be able to oversee various graduate programs, administer the undergraduate program, and oversee the work of the Graduate Programs Administrator in maintaining the department’s website and social media channels
  • The candidates should be able to coordinate and edit the calendars, plan and administer the timetable, and coordinate all Contract Instructors assignments
  • The candidates should be able to maintain all personnel files and coordinate the physical space for the department
  • The candidates should be able to act in an advisory capacity to the Chair in all aspects of University regulations and procedures, including both graduate and undergraduate academic program regulations and procedures and departmental administrative matters
  • The candidates should be able to represent the Department at administrative meetings within the Faculty and the University
  • The candidates should be able to provide advice, guidance, and administrative support to faculty, staff, and instructors relating to their teaching and research activities
