Bank of Canada based in Ottawa (Downtown), OB is inviting applications from suitable candidates for the position of Executive Administrative Assistant – Pool. The Bank of Canada can be termed as a Crown corporation and Canada’s central bank. Our bank was chartered in 1934 under the Bank of Canada act. We are responsible for formulating Canada’s monetary policy, and for the promotion of a safe and sound financial system within Canada. The candidates who will get selected for the vacancy will be required to start the work as soon as possible. We are establishing a pool of pre-qualified candidates to staff temporary and permanent Executive Administrative Assistant positions at the Bank of Canada.

Requirements:

Languages: Candidates must have knowledge of the English and French languages.
Education: Candidates need standard educational qualification such as an administration certificate/diploma or high school diploma
Experience: Candidates need a minimum of two full years of recent work experience providing administrative support services or an equivalent combination of education and experience may be considered

  • The candidate should have an intermediate digital literacy with the Microsoft suite, including Outlook, Visio, Excel, Word and PowerPoint and have a proven understanding of office procedures and related policies
  • The candidate should be able to possess strong written and verbal communication skills, can write clear and grammatically accurate short documents, and can convey straightforward messages with tact and also be open-minded, adaptable, and take initiative to proactively overcome any work obstacles that may arise, such as prioritizing competing demands and re-negotiating deadlines while ensuring quality
  • The candidate should have strong understanding of SharePoint and record management principles
  • The candidates who are Canadian citizens and residents will be prioritized
  • The candidate should be able to provide security clearance on the required level

Responsibilities:

  • The candidate should be able to provide full clerical and administrative support to departmental staff
  • The candidate should be able to prioritize and manage inboxes and calendars for senior management, schedule and control their appointments, draft meeting agendas, take minutes, and help to prepare background meeting information, including printing documents and/or assembling electronic documentation and also assist leaders you support by tracking deliverables and due dates, adding reminders or blocking off time in their calendar to complete tasks and providing updates during your regular touch bases
  • The candidate should be able to coordinate travel arrangements and support managers with the process for expense claims and also participate in departmental projects and initiatives and suggest process improvements while maintaining and updating the department’s filing and data systems
  • The candidate should be able to support meetings by assisting meeting participants with Skype or conference call technologies, plan with caterers to provide refreshments to the attendees and assist with onboarding new team members in the department
  • The candidate should be able to follow the processes and procedures surrounding protected and confidential documents and information
