Requirements:

Languages: Candidates must have knowledge of the French and English Language
Education: Candidates should have Post High School education
Experience: Candidates should have At least 5 years of professional experience in an administrative or support role, ideally in aviation management or a related field

Physical Requirements:

  • The candidates should be on duty from a P&WC declared operation IROP until such time as the flights are stopped for the day. An IROP Operation includes but is not limited to, a flight delay, cancellation, diversion due to weather, mechanical problem, landing restriction, air traffic congestion, accident/aircraft damage, security concern, immigration issue, boarding delay, or any other issues related to crews and/or staff
  • The candidates should execute all communication and coordination of ground handling procedures during an irregular operation (IROP) event
  • The candidates should abide by P&WC’s Personal Protective Equipment (PPE) policy, including safety shoes and protective eyewear, in all industrial areas, including the hangar at the main operating base
  • The candidates should have on-site presence that is mandatory at all times
  • The candidates should be aware that working from home or a hybrid type of work environment is not permitted for the Flight Administrator function

Other Requirements:

  • The candidates should have advance proficiency in MS Office (Outlook, Excel, Word et PowerPoint)
  • The candidates should have superior customer service skills, with the ability to communicate with people sensitively, tactfully, diplomatically, and professionally at all times
  • The candidates should demonstrate competence and confidence in using a variety of computer applications/platforms
  • The candidates should have strong organizational skills, including attention to detail, the ability to prioritize, and a proactive approach
  • The candidates should be self-motivated, able to multitask, work in a fast-paced environment with minimal supervision and a strong team spirit

Responsibilities:

  • The candidates should be able to monitor the status of all planned flights and flights in progress from the point of origin to the final destination and follow-up on invoices and control Supplier Relationship Management
  • The candidates should be responsible for ensuring all ground handling, de-icing, fuel, landing/departure slots, customs officials, eAPIS (electronic Advance Passenger Information System), hotel, and ground transportation are in order before releasing a flight
  • The candidates should be able to advise P&WC’s Flight Operations Manager of potential/actual delays and conditions affecting the safety of the flight
  • The candidates should be responsible for crew logistics, arranging/coordinating crew ground transportation and hotel accommodations
  • The candidates should be responsible for passenger logistics, ensuring catering and other requests are taken care of
  • The candidates should be able to ensure that all operational plans comply with the Canadian Aviation Regulation – Private Operator, subpart 604, and company policies and procedures
  • The candidates should be able to review and track post-flight data and incurred expenses for each flight and perform data entry and complete reports (e.g., internal chargeback assignments)
  • The candidates should be able to possess a strong knowledge of aircraft scheduling parameters, ensuring timely and accurate schedule communication to crew members and maintenance technicians
