Requirements:
Languages: Candidates must have knowledge of the English Language
Education: Candidates need standard educational qualifications such as a Secondary (high) school graduation certificate or equivalent experience
Experience: Candidates should have experience in sorting and delivering large quantities of mail in a high-volume mail operation
Physical Requirements:
- The candidates should have the ability to operate a pump truck to move skids
- The candidates should have the ability to work at various central mailroom locations
- The candidates should have the ability to work flexible and varied hours of work
- The candidates should have the ability to operate computers and equipment and utilize a variety of software packages, including Mail Management Systems
- The candidates should have well-developed customer service and interpersonal skills and the ability to work effectively with others as a part of a team as well as independently under minimum supervision
- The candidates should have the ability to lift materials and boxes weighing up to 30lb
Other Requirements:
- The candidates should have experience working with high-volume digital networked metering equipment and automated insertion equipment, mail folding equipment, x-ray scanners, and mail security isolation chambers
- The candidates should possess and be able to maintain a valid “G” Drivers Licence and must qualify for the City Vehicle and Equipment Operators Permit
- The candidates should have knowledge of suspicious mail recognition clues and safe mail handling, Canada Post Legislation, regulations, and standards
- The candidates should have proficiency in the use of Microsoft Office Suite Word, Excel, and Outlook and the Internet
- The candidates should possess excellent verbal and written communication skills and the ability to communicate effectively and professionally with all levels of staff, elected officials, external agencies, and the public, over the phone, in-person, and in writing
- The candidates should have good analytical skills, problem-solving skills, and attention to detail
- The candidates should have strong organizational skills and multitasking skills and the ability to meet tight deadlines under time constraints in a fast-paced environment and fundamental mathematical skills with the ability to make computations and calculations accurately
- The candidates should have the ability to use the City of Toronto internal staff directory to direct and redirect mail to the appropriate work location
- The candidates should be able to deliver mail to the Canada Post depot at the end of the shift
- The candidates should be familiar with the Occupational Health and Safety Act and the regulations that apply to this work
Responsibilities:
- The candidates should be able to affix correct postage to envelopes and packages using digital metering machines, while conforming to the rules and regulations of Canada Post in assigning postage amounts
- The candidates should be able to receive and track incoming mail and packages by scanning barcodes and ensure prompt delivery to the recipient and to set up, operate, maintain, and make adjustments as required to various mail processing equipment
- The candidates should be able to operate a courier rate shopping system to determine the most cost-effective method for courier mail on a piece-by-piece basis, a pump truck to move skids and all outgoing courier requests for City Hall and Metro Hall
- The candidates should be able to assign corporate account codes for billing inter-departmental charges and to process outgoing courier items, including weighing and ensuring correct paperwork is completed declarations and waybills
- The candidates should be able to scan incoming Canada Post mail and couriered mail through an x-ray scanner to determine dangerous or hazardous material and secure any suspected item in mail isolation chambers
- The candidates should be able to sort outgoing Canada Post mail by client and destination Domestic, U.S., and international and assign account codes for billing inter-divisional charges
- The candidates should be able to look up Registered mail Records, obtain signatures, distribute mail, registered mail cards, parcel pick-up cards in bins and records of undelivered mail for special runs
- The candidates should be able to trace missing information on envelopes mailing addresses from the City of Toronto intranet site when necessary and redirect them to the proper destination
- The candidates should be able to deliver and track couriered mail and deliver printed materials and load Canada Post mail bins in accordance with Canada Post specifications
- The candidates should be able to sort and distribute daily newspapers, scanned mail, and courier mail and to respond to inquiries regarding the operational area and function occasionally drive a courier vehicle to the Post Office
