Requirements:
Languages: Candidates must have knowledge of the English Language
Education: Candidates should have completed Grade 12 in standard commercial course such as Microsoft Office Suite and Records Management Programs
Experience: Candidates should have experience working with standard records management systems, such as VanDocs
Physical Requirements:
- The candidates should have working knowledge of the City of Vancouver’s Corporate Records Centre, its responsibilities, and the ability to navigate its website and proven ability to prioritize workload
- The candidates should have strong attention to detail and the ability to find patterns and comprehend thoughts and requests in written format for the successful operation of office systems
- The candidates should have proven ability to provide excellent customer service and the ability to use Quickfind and VanMap as preferred skills
- The candidates should demonstrate the ability to work independently and as a team member while establishing and maintaining effective working relationships with colleagues
Other Requirements:
- The candidates should have working knowledge of Microsoft Outlook, Word, Excel, PowerPoint, and Teams
- The candidates should have a comprehensive understanding of the VanRims classification system
- The candidates should have experience working with scanning software and equipment and experience as a Departmental Records Coordinator
- The candidates should have a general understanding of the organizational structure and various roles and responsibilities of the Engineering Services Department
Responsibilities:
- The candidates should be able to assist staff and engage in projects that promote the daily use of VanDocs, determine VanRims classifications, and scan and import various documents for hard copy and electronic storage using corporate VanRims classifications
- The candidates should be able to respond to FOI record requests for information from the public and retrieve information from paper, electronic, or film-based files and assist in scheduling and transferring records off-site while requesting file searches from external sources
- The candidates should be able to quality-check scans and colleagues’ projects, ensuring adherence to the standard naming convention and compliance with Corporate Records standards and provide VanDocs orientations to new staff and support employees struggling to operate within the program as a Super-User for the department
- The candidates should be able to provide building safety orientations to new or returning staff at the Crossroads office site and assist staff in obtaining office supplies and equipment in the Purchase Clerk’s absence
- The candidates should be able to perform mail delivery and related duties when the Mail Clerk is away, including extensive walking, frequent standing, regularly reaching above shoulder height, and carrying up to 4 kg of mail, using a wheeled cart
- The candidates should be able to verify employee driver licenses in person for the Car Share Coordinator when requested and perform other duties
