Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have completed an Office Administration Diploma
Experience: Candidates should have experience with information management applications

Physical Requirements:

  • The candidates should be able to effectively exchange information, work independently, think critically and maintain confidentiality

Other Requirements:

  • The candidates should have office administration, experience with HPRM (TRIM) and purchasing experience
  • The candidates should have knowledge of office administration practices and knowledge of CSSD programs and services relating to children and families
  • The candidates should have knowledge of purchasing practices and strong relationship-building skills and possess a Child Protection Clearance Check satisfactory to the Employer
  • The candidates should possess a Certificate of Conduct satisfactory to the Employer and possess a Vulnerable Sector Check satisfactory to the Employer

Responsibilities:

  • The candidates should be able to act as the first point of contact for the team, screening, channeling, and responding to inquiries from internal and external clients and provide administrative support to the Clinical Program Supervisor of Children and Youth Services and develop and establish office procedures to adapt to changing
  • The candidates should be able to track receipt of incoming and outgoing correspondence and ensure timely distribution to appropriate individuals and monitor and ensure timely responses to correspondence using HPRM or other tracking systems
  • The candidates should be able to type various documents, including letters, reports, and memos and liaise with other teams, zones, and the Provincial Office on various issues and provide support
  • The candidates should be able to assist the clinical team, including Social Workers and Social Work Assistants, under the supervision of the Clinical Program Supervisor and process financial-based requests, including initiating Financial Based Requests in ISM for approval per financial delegation policies
  • The candidates should be able to contact vendors and clients regarding financial transactions and prepare purchase requisitions for equipment and supplies, ensuring materials are received in good condition and distributed appropriately
  • The candidates should be able to assist the Clinical Program Supervisor in planning and relieving administrative details and act on behalf of the Supervisor in transmitting and interpreting assignments and decisions to staff and stakeholders
  • The candidates should be able to coordinate travel arrangements and accommodations and organize meetings, assemble information, prepare agendas, and record and prepare meeting minutes and provide front desk coverage
  • The candidates should be able to determine inventory needs and decide when to order and re-order to maintain acceptable inventory levels and prepare necessary documentation and obtain telephone quotes from suppliers for Direct Purchase Orders
  • The candidates should be able to assist social worker staff with file setup and maintenance per Department policies and procedures and perform other initiatives, special assignments
