Requirements:

Languages: Candidates must have knowledge of the English and French Language
Education: Candidates should have completion of a Bachelor’s Degree or a Community College diploma
Experience: Candidates should have plus three to five years of secretarial, administrative experience within the community and public sector

Physical Requirements:

  • The candidates should have the ability to multi-task under pressure, deal with conflicting priorities, and coordinate projects to tight deadlines with a high degree of accuracy and attention to detail
  • The candidates should possess strong writing and editing skills, including proofreading documents, writing meeting summaries, and preparing content for internal and external audiences
  • The candidates should be able to work independently with minimal supervision in a dynamic team environment, where problem-solving ability and enthusiasm are highly valued, be willing to undergo computer testing

Other Requirements:

  • The candidates should have an equivalent combination of education and experience, with experience in an executive administrative role
  • The candidates should have superior interpersonal, planning, time management, organizational, problem-solving, and customer service skills, demonstrate a high degree of confidentiality, tact, and discretion in all situations
  • The candidates should have superior computer, organizational, and communication skills, along with tact, diplomacy, and sound judgment
  • The candidates should have advanced PC skills, particularly with Microsoft Office applications (Outlook, Word, Excel, PowerPoint), and experience with virtual meeting applications
  • The candidates should have strong financial skills and experience tracking expenditures and monitoring budgets, experience working on special projects and demonstrate flexibility with tasks and initiative in developing new projects
  • The candidates should have experience working with clients, staff, and organizations serving diverse groups, bilingualism (English and French) and proficiency in a second language

Responsibilities:

  • The candidates should be able to monitor budgets and assist with the development of annual submissions and reports, coordinate requests for procurement documents,  process invoices, create invoices, track expenses, and submit credit card reconciliation statements
  • The candidates should be able to submit purchase requisitions and order equipment and supplies, maintain equipment and supplies storage structures, support core administrative tasks, including file and documentation system creation and maintenance
  • The candidates should be able to manage databases and ensure alignment with CAMH administrative processes and requirements, liaise effectively with corporate services such as Finance, Procurement, People & Experience, Facilities, and Maintenance
  • The candidates should be able to assist with a wide range of organizational and departmental projects, assist with front reception coverage and collaborate with other department administrators
  • The candidates should be able to handle confidential information with discretion, liaise effectively with internal and external stakeholders, including health care or educational institutions and government departments
  • The candidates should be able to multi-task in a fast-paced environment, support a workplace that embraces diversity and encourages teamwork
