Physical Requirements:
- The candidates should have the ability to handle multiple responsibilities simultaneously and meet deadlines
- The candidates should be able to communicate effectively in a variety of mediums and maintain detailed documentation and historical records
Other Requirements:
- The candidates should have an equivalent combination of education and progressively senior experience in an office administrative role
- The candidates should have knowledge of business administration principles, methods, procedures, practices, and equipment
- The candidates should demonstrate sound judgment and possess excellent organizational, interpersonal, and communication skills, with strong grammar, punctuation, and spelling proficiency
- The candidates should be proficient in using personal computers and office software, including PowerPoint, Excel, Word, and Outlook
- The candidates should either have or be able to rapidly acquire comprehensive knowledge of the Ontario Human Rights Code and related orders, including disability accommodation and accessibility requirements for passengers and employees
- The candidates should plan and organize activities and projects to meet both section and organizational goals and use office technology, software, and applications proficiently
- The candidates should understand and apply relevant administrative policies, processes, and procedures
Responsibilities:
- The candidates should be able to initiate, assign, track, and follow up on work to meet departmental and Commission requirements
- The candidates should be able to review, assess, assign, track, and coordinate departmental responses with the Chief or CEO’s office for Senior Management, CEO, and Commissioners and arrange meetings, secure conference rooms, and compile necessary information and materials for departmental staff
- The candidates should be able to maintain, update, and catalog Commission Report reference binders and presentations relevant to the department and prepare presentations for Commission and public meetings using PowerPoint
- The candidates should be able to maintain an image bank to facilitate the preparation of presentations and assign file and cross-references to incoming and outgoing correspondence, determining data classification and confidentiality
- The candidates should be able to maintain current project files and reference binders for the Head of Strategy and Planning and Section Heads and maintain files of project-related invoices and purchase orders
- The candidates should be able to prepare and catalog departmental Staff Summary Sheets and maintain an electronic contact list of municipal officers, transit officials, and visitors and maintain records of staff professional memberships
- The candidates should be able to update the Corporate Emergency Contact List, Corporate Security Escalation Plan, and System Safety Plan and make travel and accommodation arrangements for the Head of Strategy and Planning and senior department staff in coordination with the Administrative Coordinator of the Strategy and Customer Experience Group
- The candidates should be able to prepare and catalog presentations, including those for the Head of Strategy and Planning and Mayor’s Briefings and organize project reference files for the Head of Strategy and Planning
- The candidates should be able to maintain a tracking and follow-up system to ensure actions requested by the Head of Strategy and Planning are completed and expedited and arrange meetings and appointments to assist with the Head of Strategy and Planning’s calendar
- The candidates should be able to research, compile materials for, and assist in preparing presentations and Commission reports and assist in preparing each period’s Workforce Monitoring Report
