Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have completion of office administration program
Experience: Candidates should have 4 years of experience in the relevant field

Physical Requirements:

  • The candidates should expect that most of their time will be spent in a comfortable office setting
  • The candidates should be prepared for a normal work week of 35 hours, with each day consisting of 7 hours and aware that occasional overtime work
  • The candidates should need to move or lift objects such as boxes, inventory, or files as part of their duties
  • The candidates should be self-motivated individuals who participate fully in a team environment where ideas and innovation are embraced
  • The candidates should value the concepts of equity, diversity, and inclusion in all areas of their work

  • The candidates should possess a broad range of knowledge relating to the functions, activities, policies, and practices of executive government offices

  • The candidates should possess essential skills including advanced computer skills using Microsoft Office (Word, PowerPoint, Outlook, and Excel) and efficient office management practices
  • The candidates should have a high degree of confidentiality, sensitivity, discretion, and judgment and familiarity with SAP, Ariba, and Flextrack systems
  • The candidates should be able to effectively respond to high volumes of work and work independently with minimal supervision
  • The candidates should demonstrate leadership competencies required at this level of work, including Analytical Thinking, Adaptability and Flexibility, Attention to Detail, Client Orientation, Effective Interactive Communication, Initiative, and Intercultural and Diversity Proficiency
  • The candidates should be prepared to have the above qualifications and competencies assessed using one or more of the following tools written examination, standardized tests, oral presentations, interview(s), and reference checks
  • The candidates should rely on education and experience equivalencies and must demonstrate such equivalencies in their application

Responsibilities:

  • The candidates should be able to prepare confidential letters, Ministerial Correspondence, briefing note materials, reports, presentations, and documentation on behalf of senior leadership
  • The candidates should be able to manage agendas, including taking minutes and following up on actions and arrange meetings and events
  • The candidates should be able to route and prioritize all incoming mail, inquiries, and correspondence
  • The candidates should be able to coordinate travel and accommodations and manage the Senior Executive Director’s schedule
  • The candidates should be able to coordinate the division’s budget and monitor forecast documents
  • The candidates should be able to ensure constant innovation and administrative process improvements
