Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have Completion of Grade 12 or higher, or equivalent
Experience: Candidates should have minimum of two (2) years of progressively responsible and diversified work/information processing experience

Physical Requirements:

  • The candidates should be customer service-focused with the ability to handle various inquiries, maintain effective working relationships within a multidisciplinary team, and effectively manage conflict
  • The candidates should have excellent time management and organizational skills, with the ability to efficiently and effectively manage competing priorities, a large volume of work, and work under tight timelines

Other Requirements:

  • The candidates should have completed an appropriate certificate program from an approved business school/college
  • The candidates should have a minimum of two (2) years of progressively responsible and diversified data entry experience, including general office procedures
  • The candidates should demonstrate the ability to creatively problem solve and to adapt quickly to change and possess considerable knowledge of modern office practices, procedures, and equipment
  • The candidates should have the ability to make decisions, format documents, take minutes, and maintain records in accordance with established policies, procedures, and formats and be able to work independently and professionally within a team environment
  • The candidates should have strong verbal and written communication skills, including excellent grammar, punctuation, and spelling and demonstrate the ability to perform assigned tasks with a high level of accuracy
  • The candidates should possess strong interpersonal skills, with the ability to establish and maintain effective working relationships with a focus on collaboration and have a proven ability to effectively handle sensitive information using discretion and demonstrate service excellence, embracing diversity, and promoting inclusiveness
  • The candidates should be proficient in relevant software and computer applications, including Google Workspace (Gmail, Calendar, Docs, Forms, Sheets, Slides), Microsoft Office (Word, Excel), and have the ability to learn new computer skills; experience with POSSE, Taleo, Ariba, and/or SAP

Responsibilities:

  • The candidates should be able to provide and/or coordinate various administrative services including telecommunications, directory updates, stationery orders, corporate procurement card transactions, travel and training arrangements
  • The candidates should be able to provide direct support to the section Director, responding to correspondence and inquiries and organize and support branch and section meetings and events
  • The candidates should be able to assign tasks or solicit feedback from other members of the section on behalf of the Director and ensure the project tracking tool is maintained and accessible to required staff
  • The candidates should be able to prepare and/or assist in the development of presentations for meetings, organize meetings and workshops, including booking locations, preparing and sending meeting notifications and invitations, preparing agendas, recording and distributing minutes, and assigning action items
  • The candidates should be able to prepare and share working documents for Council reports/inquiries and prepare background information for follow-up activities, ensuring appropriate communication and content reviews/approvals throughout the process to meet timelines
  • The candidates should be able to provide clerical/computer support to new hires during the onboarding and offboarding process, including collecting required information/documentation and coordinate office equipment and furniture, including placing orders and coordinating the accurate delivery/placement/repair
  • The candidates should be able to create and maintain files and records in accordance with corporate and departmental records management procedures and standards, ensuring document management, retention, disposition, and distribution adhere to records management and FOIP requirements
  • The candidates should be able to format various documents (memos, letters, reports, inquiries) and enter and format project reports and documents in the appropriate applications and provide assistance with recruitment efforts in the area
  • The candidates should be able to create, update, and maintain Google shared drives, filing structures, employee lists, Google groups, and email lists and provide general clerical and administrative support to the section
