Requirements:
Languages: Candidates must have knowledge of the French and English Language
Education:Â Candidates should have completion of a one-year Community College diploma in Office Administration
Experience: Candidates should have plus 2 years of secretarial or administrative experience
Physical Requirements:
- The candidates should demonstrate sound judgment and the ability to interpret and apply policies and procedures

- Experience with database management and statistical programs

Other Requirements:
- The candidates should have a customer service orientation with the ability to de-escalate and manage difficult interactions and diploma in medical administration is considered an asset, as is formal training and experience in Microsoft applications
- The candidates should demonstrate initiative, independence, and a respectful, assertive stance within a team environment and n understanding of medical and pharmaceutical terminology
- The candidates should have strong analytical and problem-solving skills, along with solid administrative skills such as maintaining accurate records and managing office task and proficiency in I-CARE/Scheduler, use of Message Centre, and electronic patient charting is essential
- The candidates should have experience working with clients, staff, and external agencies from diverse cultural and ethnic backgrounds, demonstrating high levels of interpersonal skills and diplomacy bilingualism (French and English) and proficiency in another language
Responsibilities:
- The candidates should be able to demonstrate familiarity with Catalyst and Connex Ontario and proficiency in ICARE or Scheduler and the Microsoft suite of programs
- The candidates should be able to conduct data entry for clinical and administrative purposes, including registration, discharge, wait times, demographic data, health and administrative records updates, and daily input of client individual and group visits
- The candidates should be able to submit and process IMG and maintenance requests while following health and safety requirements, utilizing STRIDES
- The candidates should be able to proficiently solve Scheduler issues and manage the clinical schedule effectively
- The candidates should be able to perform general office responsibilities, such as faxing, copying, ordering and organizing supplies, answering telephones, and addressing general inquiries
- The candidates should be able to execute administrative tasks, including scheduling meetings, preparing agendas, taking meeting minutes, managing wait-times, and contributing to the general functioning of administrative work
- The candidates should be able to support a workplace that embraces diversity, encourages teamwork, and complies with all applicable regulatory and legislative requirements
