Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have completed a Bachelor’s Degree
Experience: Candidates should have a minimum of three years of previous similar administrative and budgetary experience at a senior level

Physical Requirements:

  • The candidates should have a proven track record in providing comprehensive administrative support to senior-level management while exercising discretion and maintaining complete confidentiality, excellent verbal and written communication skills, including strong writing, research, presentation, and public speaking skills

Other Requirements:

  • The candidates should have knowledge of office administration policies, procedures, and processes, knowledge of DUC and practices within the university, as well as the broader university offices, academic units, departments, and divisions
  • The candidates should have knowledge of relevant policies and procedures, knowledge of office productivity software and databases, internet browsers and search engines, discipline-specific and enterprise software, and technology devices
  • The candidates should have experience in developing communications materials such as newsletters, public announcements, and maintaining websites
  • The candidates should have financial management experience, including budget development and management, excellent interpersonal skills and a collaborative style
  • The candidates should have strong critical problem-solving and analytical skills and a proven ability to plan, develop, and execute creative approaches to challenges in a structurally complex environment
  • The candidates should have proficiency with Microsoft Office software (including Word, Excel, Access, and PowerPoint), FAST, email, social media, and internet, along with the ability to master new software and technology as it develops to support the work of the department
  • The candidates should have along with at least one year of experience, preferably working in marketing, government relations, public affairs, or communications

Responsibilities:

  • The candidates should be able to provide confidential administrative, financial, and operational support to the Chief Communications Officer and Associate Vice-President, DUC
  • The candidates should be able to manage and coordinate administrative tasks for the broader management team within DUC
  • The candidates should be able to handle sensitive and confidential information with discretion and professionalism
  • The candidates should be able to assist in financial planning, budgeting, and reporting activities, support operational functions, ensuring smooth workflow and process efficiency
  • The candidates should be able to prepare and manage correspondence, reports, and presentations, coordinate meetings, schedules, and travel arrangements for executives and management
  • The candidates should be able to facilitate communication between internal and external stakeholders on behalf of the leadership team
  • The candidates should be able to track and maintain records, ensuring compliance with organizational policies and procedures
  • The candidates should be able to assist in special projects, initiatives, and strategic planning efforts
