Requirements:
Languages: Candidates must have knowledge of the English Language
Education: Candidates should have completion of a minimum two-year college diploma
Experience: Candidates should have plus 1 to 3 years of administrative or customer service experience
Physical Requirements:
- The candidates should be available for a part-time position, up to 24 hours per week and be available for rotating shifts, including mornings, evenings, and weekends, based on business requirements, and be comfortable adapting to a changing schedule as customer demand dictates service schedules
- The candidates should be able to multi-task, apply common sense, and use good judgment and discretion, including protecting the confidentiality of customer information
- The candidates should be comfortable working in an office environment using typical office technologies, including MS Office business applications Teams, and be open to learning new scheduling software, electric buses, and radio dispatch technology Experience with SpareLabs
- The candidates should be able to work well under pressure, possessing superior time management and organizational skills, be strong team players but also be able to work independently with minimal supervision and the ability to speak multiple languages
Other Requirements:
- The candidates should have courses, specialized training, or experience in gerontology/LTC, patient/personal care, accessibility, community/social services, hospitals, or help lines
- The candidates should have excellent customer service and interpersonal skills, including verbal and written communication, active listening, and the ability to remain calm under pressure in a fast-paced environment
- The candidates should be empathetic, non-judgmental, and supportive to customers and their caregivers and effectively and courteously interact with the public in person or over the phone, demonstrating patience, skill, and sensitivity to support people with various disabilities
- The candidates should have knowledge of the Town of Oakville, the requirements of the Ontario Human Rights Code (OHRC), the Accessibility for Ontarians with Disabilities Act (AODA), and experience in the transit industry
Responsibilities:
- The candidates should be able to accurately record and confirm reservations, scheduling adjustments, cancellations, and no-shows
- The candidates should be able to respond quickly and compassionately to last-minute requests or emergency situations from customers and drivers
- The candidates should be able to develop daily schedules, optimizing service efficiency by reconciling customer requests with driver/vehicle resources using specialized scheduling software
- The candidates should be able to use radio dispatch to communicate with drivers regarding cancellations, changes, problem-solving, and special instructions
- The candidates should be able to resolve service disruptions and no-show issues with contracted taxi services
- The candidates should be able to process customer applications, create customer profiles, and assist with administering customer correspondence
- The candidates should be able to assist in tracking service performance metrics and generating daily, weekly, and month-end reports
- The candidates should be able to handle customer service issues via telephone, online, or in person, serving specialized service and on-demand customers, the public, and Oakville Transit drivers and perform other assigned duties
