Requirements:
Languages: Candidates must have knowledge of the English Language
Education: Candidates should have completion of Diploma in Office Administration or Business Administration
Experience: Candidates should have considerable experience supervising staff in an office setting
Physical Requirements:
- The candidates should be able to lift up to 25 lbs
- The candidates should expect to drive between facilities to carry out work responsibilities or office errands on a regular basis
- The candidates should be prepared for exposure to emotional, physically abusive, and dissatisfied clients
- The candidates should expect to work in an office environment with extended periods of time spent in front of a computer
- The candidates should have the ability to build rapport and use a participative approach within a team environment
- The candidates should be able to process time sheets accurately and interpret collective agreements (protocol and procedures)
Other Requirements:
- The candidates should have experience with financial administration, including knowledge of pay and benefits time sheets, accounts payable, travel claims, purchase orders and cheque requisitions
- The candidates should possess experience working with people affected by mental health challenges and impacted by trauma and Experience creating or working in an Electronic Medical Records (EMR) system
- The candidates should have experience working with people of diverse cultures and backgrounds
- The candidates should demonstrate the ability to deal with changing priorities, staff conflicts, and client or family complaints
- The candidates should possess excellent written and oral communication skills and a basic understanding of financial functions would be beneficial
- The candidates should have a good understanding and use of computers and software and exhibit excellent organization and problem solving skills
- The candidates should possess a valid Class 5 Driver’s Licence and obtain WHMIS 2015 certification and RCMP Security Clearance with Vulnerable Sector
Responsibilities:
- The candidates should be able to report to the Manager of Mental Wellness and Substance Use Services (MWSUS)
- The candidates should be able to develop and oversee administrative practices that adhere to professional standards and ethical codes, ensuring confidentiality within legal bounds for Mental Wellness and Substance Use Services (MWSUS)
- The candidates should be able to supervise receptionist and administrative duties, including training all new Mental Health Staff in administrative procedures
- The candidates should be able to act as a key support and contact person for the Electronic Medical Records (EMR) system, including training and supporting staff in its use
- The candidates should be able to collaborate with the office manager in developing and writing policy for the Electronic Medical Records (EMR) system
- The candidates should be able to audit charts for compliance with Electronic Medical Records (EMR) system requirements
- The candidates should be able to consider future developments of the Electronic Medical Records (EMR) system and maintain its functionality within the organization
