Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have Completion of Grade 12 including or supplemented by commercial administration courses
Experience: Candidates should have experience as a Departmental Records Coordinator plus sound related experience

Physical Requirements:

  • The candidates should have the ability to operate standard office equipment
  • The candidates should be capable of performing P2P and time entry functions in SAP
  • The candidates should be able to work in a fast-paced environment with shifting priorities, demonstrating competency in decision-making within established business practices and rules
  • The candidates should be adept at handling a heavy workload and providing exceptional customer experience

Other Requirements:

  • The candidates should possess considerable knowledge of modern office practices and procedures and demonstrate a sound knowledge of the Engineering Services Department functions, responsibilities, and activities
  • The candidates should have a sound knowledge of departmental and other policies, regulations, rules, procedures, and practices that relate to the position occupied or which govern worksite activities and employee behavior
  • The candidates should exhibit effective written and verbal communication skills and display effective organization and problem-solving skills
  • The candidates should possess a working knowledge of standard computer software such as VanDocs, Microsoft Word, PowerPoint, and Excel
  • The candidates should possess sound knowledge of COV’s standard purchasing practices and procedures
  • The candidates should demonstrate the ability to communicate effectively both orally and in writing, preparing non-routine reports, correspondence, and memoranda related to the work
  • The candidates should have the capability to build and maintain effective working relationships with co-workers and vendors

Responsibilities:

  • The candidates should be able to handle administrative and clerical tasks for the Transportation Planning and Transportation Design branches, as well as Engineering Team Services at Crossroads
  • The candidates should be able to manage onboarding processes, eSAFs, eCAFs, and time entry, while also updating Project Management Framework documents and maintaining branch stats (Scorecard)
  • The candidates should be able to format Council Reports, utilize SharePoint for obtaining concurrences, create shopping carts, issue change orders, and process goods receipts and service entries
  • The candidates should be able to resolve invoice payment issues, manage calendar management for section heads, coordinate large external vendor meetings, and book travel and training for branch employees
  • The candidates should be able to assist with records management filing and archiving as required and perform other responsibilities as assigned
  • The candidates should be able to utilize organizational software, SAP, to provide administrative support to all Engineering branches, including tasks such as Procurement to Payment (P2P) training, shopping carts, service entries, and orders
  • The candidates should be able to adhere to standards of the City’s Ethical Purchasing Policy and manage supplies and ordering of goods in accordance with the P2P process
  • The candidates should be able to coordinate P-card reconciliation and ensure printers are working while maintaining toner and paper supplies for the floor
  • The candidates should be able to support the onboarding of new employees, review and validate Time Entry reports, and serve as the branches Departmental Records Coordinator (DRC) for all VanDocs related issues
  • The candidates should be able to retrieve information from various sources, assist in scheduling and transferring records off-site, and perform other administrative duties as required for Engineering Team Services
