Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have knowledge and skills generally acquired through the completion of a 2-year diploma in purchasing, materials management, business administration, or another relevant field
Experience: Candidates should have 2 years’ experience in a high-volume support role; equivalent combinations of education and experience will be considered

  • The candidates should have proficiency in Microsoft Office applications, including Word, Excel, and Outlook
  • The candidates should undergo a Police Criminal Record and Judicial Matters Check satisfactory to the City
  • The candidates should provide proof of their current and valid certificate(s), licenses, and/or educational qualifications

Responsibilities:

  • The candidates should be able to provide operational and administrative support to the procurement section, collaborating closely with partners from various divisions to complete end-to-end procurement processes in compliance with public procurement rules and the City’s Procurement By-Law
  • The candidates should be able to prepare bid documents such as Request for Quotations (RFQs), Request for Tenders (RFTs), and Request for Proposals (RFPs), ensuring procurement timelines are met
  • The candidates should be able to publish bid documents on the City’s bidding portal
  • The candidates should be able to facilitate the evaluation and award of contracts
  • The candidates should be able to prepare agreements and track contract records to ensure continuity of operations based on contract terms, such as monitoring when contract renewals are required and undertaking the contract approval process
  • The candidates should be able to complete contract extension documents
  • The candidates should be able to assist in the development and review of corporate procurement policies and procedures
  • The candidates should be able to provide excellent service to internal and external customers and answer public inquiries
  • The candidates should be able to work effectively in a team environment, providing back-up support to other members of the team as required
  • The candidates should be able to provide administrative and clerical support within the section as required and perform other duties as assigned
