Requirements:

Physical Requirements:
- The candidates should have the ability to work in a high-pressure, high-volume, team environment and carry out instructions with minimal supervision
- The candidates should be able to work in a customer service-oriented environment, dealing directly with the public, including handling customer inquiries in person, by telephone, and in writing

Other Requirements:
- The candidates should have considerable experience working in a front-line, highly demanding customer service-oriented environment, performing various clerical and administrative tasks
- The candidates should have considerable experience utilizing case management systems Licensing System, ICON and a range of office equipment such as scanners, Point of Sales (POS) systems, and other relevant equipment to support the division’s core requirements such as Captiva, T-Recs and Front Desk
- The candidates should have considerable experience using a variety of software packages such as Microsoft Office Suite Word, PowerPoint, Excel and Outlook to create and format documents, reports, charts, spreadsheets, and POS or bank reconciliations
- The candidates should have considerable experience reviewing personal and corporate documents of a sensitive nature for the purpose applications and data entry both in-person and online, in hardcopy and digital format
- The candidates should possess excellent interpersonal skills with the ability to provide a high level of customer service and respond to email, telephone, and in-person inquiries in an efficient, discreet, and diplomatic manner
- The candidates should have excellent organizational, analytical, and multitasking skills with the ability to set priorities, coordinate a diverse workload, meet tight deadlines, and assess priorities while working with minimal supervision
- The candidates should demonstrate excellent problem-solving and decision-making skills with the ability to handle and resolve difficult situations in a professional manner
- The candidates should have excellent keyboarding, proofreading, and data entry skills with emphasis on volume and accuracy
- The candidates should have the ability to compile financial data and statistical summaries and to balance documents and should be able to exercise independent judgment and discretion in dealing with confidential operational matters
- The candidates should have knowledge and understanding of relevant bylaws Toronto Municipal Code Chapter 545 and 546 and other government legislations, regulations, policies, practices, court proceedings, tribunal process, and procedures
Responsibilities:
- The candidates should be able to perform varied administrative tasks involving the preparation, research, summary, and reconciliation of data, as well as the control and expedition of documents, data, revenues, and cash
- The candidates should be able to prepare and process documents, statistical summaries, reports assess and analyze data, draft and sign correspondence
- The candidates should be able to check work for accuracy and conformity with regulations, policy, and procedures, correct, resolve outstanding, incorrect items, identify issues, and recommend solutions. They should also be able to perform complex calculations
- The candidates should be able to direct, coordinate, schedule, and train assigned staff, as well as check and verify their work
- The candidates should be able to operate office equipment and computers utilizing a variety of software packages, apply speed and skill, prepare presentation material, and utilize detailed layout and formatting
- The candidates should be able to coordinate and maintain a complex record/retrieval system, as well as maintain supplies inventories
- The candidates should be able to respond to e-mails, telephone and in-person inquiries from senior staff, the public, agencies, and other levels of government utilizing in-depth knowledge of procedures, regulations, and criteria
- The candidates should be able to review, accept, or reject material/applications from the public, ensuring all criteria have been met
- The candidates should be able to receive and pay out cash and cheques, control, monitor, and balance petty cash, prepare bank deposits, withdrawals, reconciliations, and process or check financial payments. They should also be able to assist with budget administration for the unit
- The candidates should be able to coordinate meetings, events and schedules, as well as take or transcribe minutes
