Functioning as a vital utility provider, Toronto Water works to meet the water needs of residents while promoting conservation and sustainability in water management practices. Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have Post-secondary education or diploma in Business Administration or related discipline from a recognized institution, or equivalent combination of education or experience
Experience: Candidates should have considerable experience in providing customer service to various stakeholders including City staff, utility companies/contractors and residential and commercial customers

Other Requirements:

  • The candidates should have considerable clerical/administrative experience performing tasks such as preparing correspondence, coordinating and organizing data and information, records management, and handling customer inquiries in person, by telephone, and in writing
  • The candidates should possess considerable experience with Microsoft Office Suite (Microsoft Word, PowerPoint, Excel, and Access), as well as email and have excellent communication skills, both orally and in writing, and the ability to compose detailed correspondence, letters, and memos
  • The candidates should have considerable experience creating and formatting documents, reports, charts, spreadsheets, and presentations. They should also have the ability to utilize other software packages relevant to supporting the division’s core requirements and effectively research using the internet (TWAG, Hansen, and Google Maps)
  • The candidates should possess excellent interpersonal skills with the ability to meet with and deal effectively with all levels of staff, utility companies/contractors, consultants, and the public tactfully and courteously
  • The candidates should have good organizational, analytical, problem-solving, and multitasking skills, with the ability to set priorities in a fast-paced environment to meet tight, sometimes conflicting, deadlines
  • The candidates should have the ability to exercise independent judgment and discretion in dealing with confidential operational matters and have the ability to perform detailed, complex calculations and experience with payment management
  • The candidates should be able to plan and organize appointments, meetings, interviews, conferences and have Familiarity with programs and services in the Toronto Water Division
  • The candidates should have Familiarity with using computer-based accounting applications/systems, such as the SAP system and Understanding of municipal operations, council proceedings, enforcement, legislation, divisional, and political issues as they relate to Toronto Water is advantageous
  • The candidates should be able to work effectively with employees in a team-oriented environment and have working knowledge of City Bylaws pertaining to unit and unit objectives and have Speed and accuracy in data entry functions

Responsibilities:

  • The candidates should be able to perform varied administrative tasks involving the preparation of correspondence, research, reconciliation of data, and assistance with all aspects related to the administration of service programs
  • The candidates should be able to assess and analyze data, prepare and process documents, statistical summaries, and reports and able to respond to emails, telephone, and in-person inquiries from staff, the public, contractors, and utility companies utilizing in-depth knowledge of procedures, regulations, and criteria
  • The candidates should be able to prepare manuals, reports, statistical letters, memoranda, minutes, and other documents in accordance with City standards, applying and checking layout and formatting guidelines, and proofreading own and others’ material
  • The candidates should be able to prepare and update supporting documentation for various program files and applications, reviewing incoming applications for accuracy and conformity with regulations, policy, and procedures, and correcting/resolving outstanding/incorrect items
  • The candidates should be able to operate office equipment and computers utilizing a variety of software packages, preparing presentation material and selecting and presenting data and able to coordinate and maintain records/retrieval system or various records/databases using computerized management systems, develop and update mailing lists, manual and computerized filing systems, and inventory systems
  • The candidates should be able to maintain office supply inventories, liaise with internal/external vendors and suppliers, coordinate meetings, events, and schedules, and take/transcribe meeting minutes and able to perform research on the internet and intranet (311 Knowledge Base, Toronto Water website) as required to respond to inquiries
  • The candidates should be able to prepare/process documents and handle issues of a confidential/sensitive nature with appropriate discretion, and track and report attendance and vacation requests for the unit
