Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have graduated from high school
Experience: Candidates should have considerable experience in the relevant field

Other Requirements:

  • The candidates should have an equivalent, supplemented by a completed 2-year Diploma Program in Office Administration (medical preferred) from a recognized post-secondary institution, including training in office practice, keyboarding, and word processing
  • The candidates should possess effective communication skills for interactions with clients, staff, and the general public
  • The candidates should demonstrate excellent organizational skills with the ability to multi-task effectively
  • The candidates should have knowledge of general clerical work and successfully completed an approved Advanced Medical Terminology course and required to submit a satisfactory certificate of conduct

Responsibilities:

  • The candidates should be able to book appointments for General Radiology, Fluoroscopy, Mammography, Ultrasound, Bone Density, and CT procedures and monitor Diagnostic Imaging Orders via the electronic order entry system and paper requisition process, ensuring timely response, booking, and redirection as per Canadian Association of Radiologists guidelines
  • The candidates should be able to pend incoming Diagnostic Imaging Requisitions/Orders on the Meditech Scheduling System and input monthly Wait Time Data for submission to the Provincial DOHCS Wait Time database and instruct patients and their relatives on proper procedure preparations, ensuring all relevant information, such as laboratory results, is ready for appointments
  • The candidates should be able to register patients using the Meditech patient registration system, ITS Radiology System, and GE Provincial PACS system, adding any additional patient information and follow up with clients regarding MCP # rejections and provide correct information to the Radiologist Office for resubmission
  • The candidates should be able to ensure smooth daily operations within the Diagnostic Imaging Clerical Section, perform all departmental typing and clerical work accurately and efficiently, adhering to established standards and assist DI Technologists in tasks such as distributing oral contrast, positioning patients, transporting stable patients, and staying with patients during and after procedures
  • The candidates should be able to sort, register, package, and send radiology images to referral centers, monitor returns, burn CDs of images, and distribute reports to relevant departments, call referral centers for patient reports and inform attending physicians and provide input on department policies and procedures to the Lead Diagnostic Imaging Technologist IV and organize office equipment maintenance and report issues to appropriate areas, keeping the Lead Diagnostic Imaging Technologist IV informed and train new or replacement staff on clerical procedures and ensure understanding of any new procedures
  • The candidates should be able to destroy films and departmental logbooks per the Labrador Grenfell Health Record Retention policy and collate and prepare monthly statistics for Regional and Provincial Wait Times Requirements and the Canadian Workload Measurement System, handle all incoming departmental correspondence and respond per guidelines
  • The candidates should be able to perform clerical duties supporting the PACS and provide non-technical information about departmental operations to staff, physicians, other institutions, and the public, order diagnostic imaging supplies, prepare requisitions for approval, and organize supplies upon receipt
  • The candidates should be able to participate in departmental Quality Initiatives and assist in audit preparation and engage in continuing education and stay current with technological updates, protect patient confidentiality, adhering to Labrador Grenfell Health’s mission, values, policies, and procedures
  • The candidates should be able to review departmental policies, procedures, and safety manuals annually and maintain a clean reception area and clerical office and prioritize safety for patients, coworkers, and themselves, following workplace safety standards and perform heavy lifting
