Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates need standard educational qualifications such as a Secondary (high) school graduation certificate or Intermediate
Experience: Candidates should have considerable experience in the relevant field

Physical Requirements:

  • The candidates should be able to travel within and occasionally outside Waterloo Region
  • The candidates should have the ability to exercise discretion when handling confidential material

Other Requirements:

  • The candidates should be knowledgeable and skilled in customer service and administrative, scheduling, payroll processes, and procedures
  • The candidates should be knowledgeable of and able to comply with policies, procedures, collective agreement requirements, and related legislation (e.g., employment standards)
  • The candidates should be required to undergo a tuberculosis (TB) test and annual influenza immunization
  • The candidates should possess organizational and problem-solving skills to work independently to complete work, deal with competing demands in a fast-paced environment, and apply protocol and collective agreement requirements when scheduling replacement staff
  • The candidates should have communication and interpersonal skills to respond pleasantly and professionally to residents, the public, and staff, provide administrative support to program areas, and participate as effective team members
  • The candidates should have computer skills with the ability to use software such as Microsoft Office, a time and attendance management system, and an advanced scheduler
  • The candidates should have the ability to use multiline phone systems
  • The candidates should be able to read, interpret, and apply policies, procedures, and collective agreement clauses
  • The candidates should possess the ability to write, proofread, and edit correspondence and related documents (e.g., notices, thank you cards, minutes)
  • The candidates should be available to work shifts, weekends, and statutory holidays as scheduled
  • The candidates should be required to provide an acceptable Police Vulnerable Sector Check (Level 3)
  • The candidates should have the ability to support and demonstrate the Region’s values

Responsibilities:

  • The candidates should be able to provide reception, staffing, and administrative support to the Division, ensuring efficient operations
  • The candidates should be able to schedule replacement staff for scheduled and unscheduled absences at Sunnyside Home, following established protocols, collective agreements, and employment standards legislation
  • The candidates should be able to contact staff for upcoming shifts due to unscheduled vacancies and fill scheduled vacancies promptly and appropriately
  • The candidates should be able to perform reception and switchboard services for the Division, assisting residents, families, visitors, and staff, and maintaining the resident directory
  • The candidates should be able to monitor lobby activities, respond to inquiries, and redirect calls/messages to the appropriate resident/staff area
  • The candidates should be able to process paperwork related to schedule changes, including switches, statutory holidays, vacation, giveaways, lieu time, and availability
  • The candidates should be able to input changes to scheduled hours into a time and attendance system for verification and approval by management, ensuring accurate record-keeping
  • The candidates should be able to verify hours worked and submit them to the manager for approval, updating the master schedule with any changes
  • The candidates should be able to collect staff availability data and update the active schedule, liaising with management regarding staffing requirements
  • The candidates should be able to respond to staff inquiries regarding the distribution of hours, staff availability, and scheduling, providing assistance and clarification as needed
  • The candidates should be able to prepare staff identification badges, ensuring proper identification and security measures are in place
  • The candidates should be able to maintain a daily staffing roster for resident care, ensuring a full complement of staff to meet residents’ needs
  • The candidates should be able to provide administrative support to program areas, including fundraising activities and promotions, by printing materials, taking meeting minutes, and booking rooms as necessary
  • The candidates should be able to update meeting room lists/notices and process mail and faxes, as well as distribute newspapers and newsletters
  • The candidates should be able to maintain care and custody of keys for various areas within the Division, including vehicles, gift shops, bars, hairdressing, and tuck shops
  • The candidates should be able to maintain building binders for policies and procedures, ensuring easy access to important information for staff
  • The candidates should be able to order office supplies for the Division within guidelines or for management approval, ensuring the smooth operation of administrative tasks
  • The candidates should be able to occasionally contact community agencies to exchange information, fostering collaboration and communication
  • The candidates should be able to respond to emergency situations as outlined in policies and procedures, ensuring the safety and well-being of residents and staff
  • The candidates should be able to perform any related duties as assigned, demonstrating flexibility and adaptability in fulfilling Division needs
