Requirements:

Languages: Candidates must have knowledge of the English and French Language
Education: Candidates should have completion of one year secretarial or commercial course
Experience: Candidates should have three years of related secretarial experience

Physical Requirements:

  • The candidates should fill gaps in the schedule and replace full-time employees when operational requirements demand as determined by the Employer
  • The candidates should be aware that while there is no shift work associated with this position, there is potential for travel, overtime, and disruptions to personal and family life due to position responsibilities, workload, and other unplanned activities (typically the hours are between 8:30 AM to 4:30 PM and work overtime on occasion
  • The candidates should be aware that stress levels may be higher than normal due to the nature of the work and the type of confidential information exposed to, often dealing with difficult situations, persons under considerable stress, and experiencing traumatic events
  • The candidates should understand there is a high demand for accuracy and attention to detail while working in a complex service area

Other Requirements:

  • The candidates should have experience dealing with traumatic events. An equivalent combination of training and experience and four years of related work experience
  • The candidates should be proficient in typing, word processing, and other standard computer applications, such as Microsoft Word, Excel, Outlook, and internet use
  • The candidates should demonstrate the ability to multi-task, prioritize work, and manage electronic filing systems
  • The candidates should be organized and adaptable in a fast-paced environment, be strong team players, and have good interpersonal skills
  • The candidates should be sensitive to the needs of clients, display tact, sound judgement, and be able to exercise discretion and confidentiality
  • The candidates should have effective verbal and written communication skills, strong organizational skills, and the ability to work independently
  • The candidates should have knowledge of the Justice Enterprise Information Network (JEIN) and issues impacting victims should be demonstrated by the candidates, along with work experience in the criminal justice system, and trauma-informed training
  • The candidates should have bilingualism with oral and written skills in English and French

Responsibilities:

  • The candidates should be able to answer the main phone line, prepare correspondence, and manage a database
  • The candidates should be able to provide front desk coverage, maintain direct contact with the public, victims of crime, and justice partners to help navigate to the appropriate service
  • The candidates should be able to prepare statistics on a spreadsheet and code block invoices for signature and payment for the regional offices
  • The candidates should be able to book new and recurring meetings (in person and virtual) and open, prepare, and distribute mail
  • The candidates should be able to maintain an electronic filing system and order office supplies and print material
  • The candidates should be able to prepare quotations for off-site training events and take minutes for meetings
  • The candidates should be able to maintain the Regional Office general email account and support the administrative assistants in the regional offices and Head Office and perform other related duties
