Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have standard educational qualifications such as a Bachelor’s degree in the relevant field
Experience: Candidates should have considerable experience in the relevant field

Physical Requirements:

  • The candidates should have consultation skills to provide advice and assistance to the Director and the branch management team
  • The candidates should exercise political acuity and communicate with a wide range of stakeholders to anticipate, mitigate, and respond to issues, providing advice to the Director and/or managers
  • The candidates should plan and independently handle administrative matters and provide technical guidance to junior staff and prepare a range of written materials, including correspondence and reports
  • The candidates should have research, analytical, and financial skills to compile information, develop solutions to problems, and ensure accuracy in administrative transactions and expense reports
  • The candidates should be proficient with software applications and information management systems

Other Requirements:

  • The candidates should have significant office experience, including a demonstrated ability to interpret and apply administrative policies, directives, and guidelines
  • The candidates should possess comprehensive knowledge of business planning and decision-making processes
  • The candidates should have proven communication and interpersonal skills to connect with contacts at all levels, manage issues, and build relationships effectively
  • The candidates should demonstrate diplomacy, tact, and discretion in dealing with confidential and sensitive matters and determine the appropriate release of information
  • The candidates should possess superior organizational skills and the ability to balance competing demands and meet tight deadlines
  • The candidates should have experience in coordinating and navigating processes, directives, policies and capable of determining the urgency of inquiries and resolving issues
  • The candidates should have relationship management skills to collaborate with others, obtain agreement on initiatives, and support the team in achieving goals and objectives

Responsibilities:

  • The candidates should be able to provide confidential executive support to the Office and liaise with executives, stakeholders, and partners
  • The candidates should be able to coordinate and manage administrative activities, prepare work plans, develop and implement standard operating procedures, and provide guidance to support staff
  • The candidates should be able to manage scheduling, information flow, and procurement
  • The candidates should be able to develop analysis and options for problem resolution and branch planning
  • The candidates should be able to conduct special projects and participate in cross-functional working groups and develop and maintain schedules
  • The candidates should be able to forecast, monitor, and track the budget, including FTE allocation, operating budget, travel expenses
