Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have completion of 12th school grade
Experience: Candidates should have a minimum of two years of progressively responsible, diversified administrative experience in a fast-paced, highly political office setting dealing

Physical Requirements:

  • The candidates should be highly self-motivated and produce quality, error-free work in a fast-paced environment
  • The candidates should have strong interpersonal skills and the ability to work effectively within a team

Other Requirements:

  • The candidates should have completed business subjects with emphasis on general office practices or an appropriate administrative professional certificate program from an accredited business school or college with senior leadership, and demonstrated high computer competency
  • The candidates should have advanced skills and experience in Google applications, including Docs, Sheets, Sites, Drive, Calendar, Gmail
  • The candidates should demonstrate exceptional prioritization skills, including the ability to make independent decisions regarding task management and adapt to changing timelines and priorities
  • The candidates should have a demonstrated ability to meet timelines with a high degree of accuracy and efficiency while multitasking effectively
  • The candidates should have knowledge and proficient experience using Posse, ARIBA, SAP, PeopleSoft, and Adobe Acrobat
  • The candidates should focus on excellent customer service and have the ability to maintain professional communication in a fast-paced, challenging environment
  • The candidates should possess excellent written and oral communication skills and independent and strong decision-making skills, including the ability to research processes to complete tasks
  • The candidates should be familiar with the City’s policies, procedures, and formats and experience working with senior leadership
  • The candidates should be able to deal with confidential or politically sensitive information with a high degree of judgment and discretion
  • The candidates should demonstrate a high degree of initiative and utilize judgment and discretion when making decisions

Responsibilities:

  • The candidates should be able to provide administrative support to the Planning and Environment Services Branch, including organizing information, booking meetings, preparing document templates, and drafting correspondence
  • The candidates should be able to coordinate branch onboarding and offboarding processes and procedures efficiently
  • The candidates should be able to manage desk allocation, telephony, and technical assets for the Branch effectively and independently prioritize multiple tasks with competing deadlines
  • The candidates should be able to maintain and monitor an accurate and timely list of action items, alerting the Branch Manager or Supervisor of deadlines and track documents, tasks, and procedures with exceptional accuracy and attention to detail
  • The candidates should be able to undertake special projects as assigned from either the Administrative Assistant or Branch Manager, collaborating with the Strategic Coordinator
  • The candidates should be able to assign document templates to business areas and compose correspondence as delegated, ensuring compliance with the City’s standard format
  • The candidates should be able to ensure adherence to City Policy and Branch procedures, identifying opportunities for improvement
  • The candidates should be able to process information on various sensitive issues while maintaining confidentiality
  • The candidates should be able to liaise and exchange information with other administrative staff across the corporation
  • The candidates should be able to process Branch expenses with discretion and reconcile expense reports with detail and accuracy and provide excellent customer service to all branch employees
