Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have Three years of post-secondary education, in addition to office administration and communications training
Experience: Candidates should have Five years of related experience in a post-secondary environment with a focus on executive, administration, operation and communications of a department

Physical Requirements:

  • The candidate should have the ability to work independently and accurately under pressure, with meticulous attention to detail
  • The candidate should be capable of working under pressure to meet strict deadlines

Other Requirements:

  • The candidate should have thorough knowledge of the University’s systems and applications, including a deep understanding of University and departmental policies
  • The candidate should be proficient in University accounting and budgetary policies & procedures to provide accurate guidance
  • The candidate should have familiarity with Banner, eShop, FAST, Travel & Expense (SAP Concur), and other administrative systems
  • The candidate should have a deep understanding of communication processes, staying updated with emerging trends, and knowledge of systems like WordPress, MailChimp, Lyris, Campaign Monitor, Twitter, Hootsuite, and Survey Monkey
  • The candidate should possess excellent writing and editing skills for professional representation of the department
  • The candidate should be effective in communication with senior staff within and outside of TLS
  • The candidate should have thorough knowledge of University operating and HR/Staff policies
  • The candidate should be familiar with Carleton applications, MS Office Suite, Zoom, and content and communication platforms
  • The candidate should maintain a high level of confidentiality and professionalism
  • The candidate should demonstrate sound judgment for making recommendations on financial and policy issues
  • The candidate should possess strong oral and written communication and interpersonal skills
  • The candidate should exhibit exceptional organizational and time-management skills

Responsibilities:

  • The candidates should be able to, reporting to the Vice-Provost and Associate Vice-President (Academic) (VPAVPA), provide professional, executive, and confidential support to both the VPAVPA and the Director, Teaching and Learning
  • The candidates should be able to organize schedules, travel, support confidential correspondence, and coordinate/support committees and working groups for the VPAVPA and the Director, Teaching and Learning
  • The candidates should be able to oversee the administrative operations of the Office of the VPAVPA
  • The candidates should be able to support the communication activities of the OVPAVPA by assisting the Communications Officer with social media, email, and newsletter campaigns
  • The candidates should be able to exercise a significant amount of tact and diplomacy in their duties and maintain a high degree of confidentiality due to the position of trust
