Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have completion of Post-Secondary Degree Public Administration and Political Science
Experience: Candidates should have 2 years previous administrative experience in a government setting, preference will be given to those with experience in a municipal environment

Physical Requirements:

  • The candidates should have exposure to computer keyboards and screens in a primarily office environment
  • The candidates should exhibit strong attention to accuracy and detail in a time-sensitive environment
  • The candidates should be able to work irregular hours depending on meetings and overtime as required to meet set deadlines
  • The candidates should be strong team players with the ability to work independently
  • The candidates should demonstrate strong research, analytical and critical thinking skills
  • The candidates should have require some light lifting of supplies or materials

Other Requirements:

  • The candidates should have completion of the Municipal Administration Program or Certified Municipal Officer accreditation
  • The candidates should possess experience using Acrobat Adobe Pro, Microsoft Word, Excel, PowerPoint, and Agenda Management Software (eSCRIBE is an asset), as well as proficiency in various City software programs
  • The candidates should demonstrate knowledge of electronic meeting software such as Webex, Webex Events, and Zoom, along with the ability to serve as a meeting host for electronic meetings of Council and Committees
  • The candidates should be able to prepare reports, letters, and emails in a clear, concise, and professional manner to Members of Council, staff at all levels, the general public, and other stakeholders
  • The candidates should possess a strong ability to take initiative, accountability and excellent customer service skills
  • The candidates should have excellent organizational and time management skills, along with the ability to prioritize workload, problem-solve, adapt to frequent interruptions and strong keyboarding skills
  • The candidates should have working knowledge of the Municipal Act, Accessibility for Ontarians with Disabilities Act, Planning Act, and Mississauga’s Procedure By-law
  • The candidates should demonstrate leadership skills to provide advice and direction to staff

Responsibilities:

  • The candidates should be able to review, organize, and research to prepare agenda items for meetings
  • The candidates should be able to attend meetings and record discussions and decisions on behalf of the City Clerk, ensuring compliance with Provincial legislation and the Council Procedure By-law, and providing procedural guidance
  • The candidates should be able to prepare written motions before meetings in anticipation of being moved by Council or Committees, and capture and formulate verbal motions moved during meetings
  • The candidates should be able to report on recommendations and submit them for adoption by the appropriate authorities and minutes that serve as a permanent corporate record of the proceedings, discussions, and decisions of Council or Committees
  • The candidates should be able to act as the primary corporate contact for Council or Committee matters and respond to inquiries from the public, staff, and other levels of government regarding Committee issues and coordinate various programs, events, and the citizen appointment process, as well as manage the Committee budget
  • The candidates should be able to create committee meeting appointments and serve as Meeting Host or perform other duties during electronic meetings of Council and Committee
  • The candidates should be able to provide ad hoc assistance on projects or initiatives within the unit or team
  • The candidates should be able to facilitate training sessions, presentations and interpret legislation and provide guidance to various departments regarding legislative processes
  • The candidates should be able to liaise with Committee Chairs to ensure that the Committee operates within its established Terms of Reference
