Requirements:
Languages: Candidates must have knowledge of the English Language
Education:Â Candidates should have a completed diploma equivalent to 2-3 years of full-time study in Business Administration, Project Management or a related field
Experience: Candidates should have at least 3 years of direct project administration experience
Other Requirements:
- The candidates should have intermediate proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint, Teams) to effectively handle various tasks and projects
- The candidates should have experience with Human Capital Management (HCM) and Finance and Supply Chain Management (FSCM)
- The candidates should have the ability of the candidates to take initiative, collaborate, and work effectively in both a team and individual setting, and prioritize workload based on competing priorities
- The candidates should possess well-developed communication and organizational skills, financial aptitude, problem-solving ability, attention to detail, and the ability to multitask and manage multiple priorities
Responsibilities:
- The candidates should be able to play a pivotal role in ensuring the smooth execution of Corporate Security projects and programs within the organization, providing comprehensive support to Corporate Security’s Portfolio Management Office, leadership team, staff, subject matter experts, and internal and external partners and clients
- The candidates should be able to coordinate project schedules, financial reconciliation, create and manage documentation, administrate project tools, liaise with internal partners, consultants, and vendors, and facilitate communication among team members and partners
- The candidates should be able to schedule project meetings, take minutes, and record action items and decisions, ensuring clear communication and accountability among project stakeholders
- The candidates should be able to perform finance administration activities including financial analysis, recovery processing, coordinate and manage prepaid agreements, and request and administrate capital budget allocation to Project IDs and action budget change requests
- The candidates should be able to liaise with the organization’s Tangible Capital Asset team to request new Project IDs and report and update Corporate Security’s tangible capital assets on behalf of the business unit, ensuring accurate financial reporting and compliance with organizational policies
- The candidates should be able to assist in project procurement initiatives and manage Portfolio Management Office contracts, ensuring that procurement activities are conducted efficiently and in compliance with organizational procurement policies and procedures
- The candidates should be able to administrate the Program and Project Management Tool (P2M), including creating new projects, assigning budgets, ensuring project status reports are published monthly, managing issues, onboarding new staff, and project closeout
- The candidates should be able to manage project Microsoft Teams channels and files, including access control, file management, and relocation of historical information and data, ensuring that project documentation is organized and accessible to relevant stakeholders
- The candidates should be able to track and report return on investment (ROI) initiatives, providing insights into the effectiveness of Corporate Security projects and programs and supporting decision-making processes
- The candidates should be able to coordinate activities and deliverables for the Portfolio Management Office in support of short and long-term program plans, contributing to the achievement of Corporate Security’s strategic objectives
- The candidates should be able to administrate the resource management tool, Replicon, for the Portfolio Management Office, ensuring accurate tracking and reporting of resource utilization and availability
