Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have completion of secondary school education
Experience: Candidates should have clerical experience in a similar or related work environment

Physical Requirements:

  • The candidates should create, document, and manage information and records
  • The candidates should have good organizational and multitasking skills with the ability to meet deadlines

Other Requirements:

  • The candidates should be able to use office technology, software, and applications and maintain documentation and historical records
  • The candidates should have a combination of education, training, and experience deemed equivalent and and organize activities or projects to meet section and organizational goals
  • The candidates should demonstrate prior administrative and good knowledge of modern office practices, procedures, and equipment
  • The candidates should be proficient in the use of computers, including data entry skills and proficiency with MS Office and other software or applications relevant to the work Maximo
  • The candidates should have strong interpersonal, oral, and written communication skills and knowledge and practical experience with financial monitoring, reporting, and record-keeping
  • The candidates should have at least basic mathematical skills and strong data entry skills are beneficial

Responsibilities:

  • The candidates should be able to report to the Supervisor, Communications and perform a variety of clerical and administrative duties to support the day-to-day operations of the Communications section of the S/E/C Department
  • The candidates should be able to facilitate the procurement of supplies, materials, and services for the section and prepare correspondence and documentation on behalf of the department or section in accordance with department or section standards
  • The candidates should be able to assist with monitoring, tracking, and updating information, data, and records, ensuring accuracy and following up
  • The candidates should be able to process documentation, reports, and data with accuracy, and manage and maintain these documents, records, and files while following established procedures and timelines
  • The candidates should be able to provide coverage for the department’s Administrative Assistant or other support staff and assist with other duties, tasks, activities, or events
  • The candidates should be able to liaise with other colleagues or support staff, other departments, and external parties concerning routine matters under the direction of department staff
  • The candidates should be able to demonstrate behaviours that support diversity, inclusion, and a respectful work and service environment that is free from discrimination and harassment as a TTC employee
  • The candidates should be able to help remove barriers and accommodate employees and customers (within their area of responsibility) in accordance with TTC’s commitments and obligations under the Ontario Human Rights Code (OHRC) and Related Orders, the Accessibility for Ontarians with Disabilities Act (AODA), and TTC’s policies
  • The candidates should be able to participate in the TTC Customer Service Ambassador Program
