Requirements:

  • The candidates should have a working knowledge of corporate software packages such as Microsoft Word, Excel, and Outlook, as well as Police Record Management Systems
  • The candidates should be able to work in a standard call center environment with minimal adverse working conditions
  • The candidates should engage in constant light physical activity, moving from workstation to numerous different areas of the larger office
  • The candidates must be able to work shifts as designated in the “Hours of Work” section of the job description
  • The candidates should be capable of extended periods of time on a computer with a minimum typing speed of 35 words per minute
  • The candidates should be comfortable with extended use of a telephone, including using a headset
  • The candidates should have previous experience in the public relations field
  • The candidates should have previous experience working in a police environment
  • The candidates should possess knowledge of CPIC, records entry, and procedures related to the section
  • The candidates should have knowledge of Computer-Aided Dispatch (CAD) and CopLogic
  • The candidates should have completed Conflict Resolution and Problem-Oriented Policing training
  • The candidates should have received Mobile Report Entry (MRE)/ RMS training
  • The candidates should have oral, reading, and writing fluency in other languages
  • The candidates should have a minimum of three (3) years progressive experience in managing, administering, and/or coordinating projects or working as a member of a project team/special assignments
  • The candidates should possess relevant experience in creating and managing dashboards, internal/external consultation, tracking project milestones, and professional writing (such as writing policy or procedure, report writing, professional communication, and presentation skills)
  • The candidates should have experience in report preparation for senior management and/or board reporting
  • The candidates should have experience with and advanced knowledge in various types of office software products, such as Microsoft Project, CA Clarity PPM, Microsoft Access, Microsoft Excel, Microsoft PowerPoint, Microsoft Outlook, Power BI, and/or other corporate software packages related to a project environment
  • The candidates should have an understanding of the Organization’s Mission, Vision, and Values
  • The candidates should be familiar with the structure of the Ottawa Police Service
  • The candidates should have knowledge of the Civilian/Sworn Collective Agreements
  • The candidates should have proficiency in report writing
  • The candidates should be adept in navigating the Windows environment, including Outlook and meeting scheduling
  • The candidates should have experience using Microsoft Word for preparing reports and charts
  • The candidates should be proficient in Microsoft Excel
  • The candidates should have oral, reading, and writing fluency in French or other languages
  • The candidates should possess experience preparing professional reports for presentation to Senior Management/Board of Directors or an overseeing civilian body
  • The candidates should hold a Master’s Degree in a relevant field, preferably Business/Public Safety/Law/Criminology/Social Sciences, or a related field
  • The candidates should have experience in dashboard management and tracking
  • The candidates should have relevant experience in police or comparable enforcement

Responsibilities:

  • The candidates should be able to support the Superintendent and other key stakeholders through all phases of the CSPA Implementation project life cycle, including dashboard management and tracking, internal stakeholder consultation, and report writing
  • The candidates should be able to document new and existing business processes to track compliance with the CSPA, collaborating with subject matter experts to develop milestones and key deliverables
  • The candidates should be able to establish and create a Dashboard for the purposes of project management and tracking and communication
  • The candidates should be able to provide business analysis support to the project team, respecting project decision-making and discussions, and ensuring effective project documentation following Project Management best practices and industry standards
  • The candidates should be able to assist with the development and implementation of processes, tools/templates, and training materials that support the enterprise project life cycle
  • The candidates should be able to assist in ensuring the scope of work is fully defined and documented, and an accurate schedule is created and maintained
  • The candidates should be able to assist in ensuring risks and issues are appropriately managed, and project status reports are complete and consistent
  • The candidates should be able to assist in ensuring the project’s deliverables are completed in a timely manner that satisfies quality expectations
  • The candidates should be able to assist in ensuring the project is managed in a manner that aligns with the project life cycle
  • The candidates should be able to work closely with internal OPS stakeholders and the project team to ensure the dashboard meets the business needs and requirements
  • The candidates should be able to perform requirements analysis, gathering critical information from meetings with various stakeholders and reporting on the same
  • The candidates should be able to prepare or assist in preparing presentations, status reports, and communication documentation
  • The candidates should be able to compare current processes to legislative requirements and provide recommendations for alignment
  • The candidates should be able to assist in policy and procedure work as it relates to the CSPA, providing project support to the team as required, and ensuring coordination of documents and resource materials throughout the project
  • The candidates should be able to fulfill other duties as required to support the completion of project goals, demonstrating flexibility and adaptability in their role
