Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have educational qualifications such as Two years of post-secondary education
Experience: Candidates should have three years of related administrative office experience, preferably in an academic environment

Other Requirements:

  • The candidates should demonstrate excellent skills in the manipulation of electronic database and software applications, including Word, Excel, FoxIt, PowerPoint, Infosilem, Outlook, Banner, and WordPress
  • The candidates should have basic website maintenance skills and advanced knowledge of search engines and web search techniques
  • The candidates should have the ability to adapt to a continually changing electronic environment and have the ability to work with minimal supervision, respond independently to queries, and resolve problems
  • The candidates should possess superb verbal and written communication skills and the ability to professionally represent the Department and deal effectively with faculty, contract instructors, students, staff, and the general public
  • The candidates should possess thorough knowledge of administrative and office procedures and should be able to organize work effectively, set priorities, and meet strict deadlines with minimal supervision
  • The candidates should have excellent time management skills as well as the ability to simultaneously work on several tasks with pressures of multiple demands and changing priorities
  • The candidates should demonstrate excellent customer service skills, along with the ability to act with discretion, tact, and diplomacy when dealing with staff, faculty, contract instructors, students, and the public

Responsibilities:

  • The candidates should be able to provide a range of administrative supports to the Department of Sociology and Anthropology’s students, student clubs and societies, faculty, and staff as well as a range of internal and external stakeholders
  • The candidates should be able to serve as the initial point of contact for stakeholders with the Department, providing in-person, email, and telephone support, and responding to general questions from faculty, staff, visitors, and the public
  • The candidates should be able to remain current on changing registration and exam schedules and other important university news, dates, and deadlines to effectively and accurately respond to inquiries
  • The candidates should be able to provide general office support including reception services, coordination of incoming and outgoing correspondence and deliveries, assisting faculty and staff with administrative needs, and monitoring and ordering general office supplies
  • The candidates should be able to maintain filing systems, support the purchase and secure storage of exam materials, and manage space needs within the Department
  • The candidates should be able to coordinate the collection and review of course outlines and Student Experience Questionnaires, provide logistical and other support for events, and assist administrative colleagues and faculty members during peak periods
  • The candidates should be able to work as a team member to meet deadlines and handle emergencies, demonstrating superior interpersonal skills in a diverse environment
