Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates need standard educational qualifications such as a Secondary (high) school graduation certificate or Intermediate
Experience: Candidates should have considerable experience in the relevant field

  • The candidates should be proficient in communication and familiar with email services
  • The candidates should have skills in data entry and experience in office administration
  • The candidates should be detail-oriented
  • The candidates should demonstrate teamwork abilities and possess strong time management skills

Responsibilities:

  • The candidates should be able to provide administrative support and coordination activities for a team of people
  • The candidates should be able to answer telephone calls, take messages, and respond to routine questions
  • The candidates should be able to maintain the vacation schedule and master schedule of whereabouts for staff
  • The candidates should be able to maintain master copies of organizational policy and procedure manuals and keep them up-to-date
  • The candidates should be able to type and distribute memos, meeting minutes, and presentations for staff
  • The candidates should be able to manage and maintain calendars, coordinate meetings, conferences, and travel arrangements for the RVP
  • The candidates should be able to build agendas, coordinate speakers, manage/host Webex meetings, record meeting minutes, and follow up on all meeting takeaways/next steps on behalf of the RVP
  • The candidates should be able to coordinate Event Planning, i.e., Offsite sessions, communication sessions, Town Halls & Coffee chats
  • The candidates should be able to act as the RVPs delegate for email and voicemail during absences, handling and forwarding issues, prioritizing for RVP’s action upon return
  • The candidates should be able to research and respond to routine inquiries and requests
  • The candidates should be able to prepare material needed for daily schedules and meeting bookings
  • The candidates should be able to develop communications, meeting/conference materials, forms, documents, presentations, spreadsheets, and other record-keeping databases
  • The candidates should be able to coordinate and administer all requirements and maintain appropriate records in managing the department, including preparing and verifying expense claims and invoices, monthly audit reconciliation of travel and other expenses, supplies, telecommunications, equipment, and premises requirements
  • The candidates should be able to support the planning and execution of market activation activities/events with other Senior market Leaders (e.g., advice events, Community Sponsorship, Donations)
  • The candidates should be able to partner with Administrative Assistants of other Senior Market Leaders to coordinate scheduling of partner meetings and other market activities
