Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have completion of completed grade twelve (12)
Experience: Candidates should have 2+ years of experience working in an administrative capacity at the City or a large organization or municipality

Physical Requirements:

  • The candidates should be able to oversee and supervise the work of other administrative support staff and complete data entry tasks quickly and accurately
  • The candidates should be able to deal with the public and internal contacts in a professional manner

Other Requirements:

  • The candidates should have including business subjects related to word and information processing, and training in computer applications
  • The candidates should have knowledge of office practices, records keeping, customer service skills, and dealing with the public
  • The candidates should have experience with SAP Ariba (or similar purchase order systems) and Ariba (or other types of contract management software) and strong verbal and written communication skills
  • The candidates should have experience maintaining an effective records management system and experience working in an environment with changing priorities and workflows according to project timelines and milestones
  • The candidates should have an understanding of general office procedures, practices, and equipment
  • The candidates should be able to maintain a general understanding of the Local Authorities Election Act
  • The candidates should have knowledge of set up, refresh, and inventory for various devices (phones, tablets, laptops) and equipment, with the ability to troubleshoot when issues arise
  • The candidates should have intermediate proficiency with office suites; Google Suite (Docs, Sheets, Slides, Forms, Gmail, Calendar and Meet)

Responsibilities:

  • The candidates should be able to coordinate meetings and events by planning, organizing, and scheduling attendees, rooms, and resources effectively
  • The candidates should be able to prepare agendas and materials, informing and preparing participants ahead of time
  • The candidates should be able to monitor and filter the Manager’s emails, identifying items requiring action, decisions, or information promptly
  • The candidates should be able to transcribe meeting minutes and action items during meetings with stakeholders
  • The candidates should be able to assist with voter registration and Recount Centre mock trials, including setting up training sessions, printing relevant documents, and scheduling meeting rooms
  • The candidates should be able to support Local Political Party, Slates, and Third Party Advertisers (TPA) registration processes by answering emails, phone calls, and faxes in a timely manner
  • The candidates should be able to support the Local Political Party and Slates, and TPA financial disclosure processes by providing assistance via emails, phone calls, and faxes
  • The candidates should be able to maintain records related to ballot accounting in compliance with legislative guidelines
  • The candidates should be able to support the Ballot Accounting Oversight and Recount Readiness team in recruiting temporary staff by coordinating interview setups
  • The candidates should be able to assist in setting up the Elections Recount Centre, ensuring all equipment and resources are available and ready
