Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have completed high school (Grade 12) graduation
Experience: Candidates should have over one year, up to two years of administrative experience in a customer service, office, enforcement, or licensing environment

Physical Requirements:

  • The candidates should be professional, diplomatic, and tactful in their interactions and work independently and as part of a team

Other Requirements:

  • The candidates should have plus an additional program of up to one year in General Office Administration, Legal Office, Business Administration, or an equivalent field
  • The candidates should have working knowledge of the Microsoft Office Suite and exceptional written and verbal communication skills, along with strong interpersonal skills, emphasizing customer service

Responsibilities:

  • The candidates should be able to provide customer service at the public counter, via telephone, and by monitoring the Enforcement Clerk Inbox and Unassigned Complaints email inbox
  • The candidates should be able to respond to general and specific inquiries regarding enforcement business licensing matters, property standards and enforcement, and municipal business through phone, email, and counter service
  • The candidates should be able to deal with daily driver renewals, issuance of new plates, and completion of multi-step complicated vehicle transfers and receive and process all license application and fee documents
  • The candidates should be able to maintain, update, and file Property Standard, Municipal, and Licensing fees and issue Group and Lodging Home invoices and receive payments
  • The candidates should be able to maintain electronic and automated records for all licensees and records management and check completeness of application packages and complete the annual license renewal process
  • The candidates should be able to prepare Property Standards Inspection Reports, Orders to Comply, and zoning requests for mailing, and create and confirm Property Standards Orders and liaise with Licensing Inspectors for clarity on documentation and appointment scheduling
  • The candidates should be able to prepare and forward noise and dog barking complaint letters and maintain files and dispatch calls to Municipal Enforcement Officers and input licenses and permits into Amanda systems, issue licenses, and prepare photo ID
  • The candidates should be able to balance and reconcile daily receipts, prepare the Revenue Report, and forward it to Treasury and receive, process, and apply all payments to the correct file and account for each enforcement business transaction
  • The candidates should be able to prepare and sign off the daily revenue report and cash deposit envelopes and be responsible for end-of-day cash flow count, including verifying cash and closing off for the day
  • The candidates should be able to enter information on a versatile records management system for corporate compliance and monitor and respond to inquiries received in the email inbox, including messages and elevate and perform additional similar and related duties
