City of Calgary’s Information Technology department is integral to the municipality’s digital infrastructure and services. Managing technological systems and innovations, it ensures the efficiency and security of digital operations. Through strategic IT planning and implementation, it supports various municipal functions and services, contributing to Calgary’s advancement as a technologically savvy city. Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have completed 2 year diploma or a degree in records management and library studies
Experience: Candidates should have at least 5 years of related experience

Physical Requirements:

  • The candidates should have strong interpersonal and organizational skills, excellent communication skills, the ability to work collaboratively with a variety of interested parties,
  • The candidates should have the ability to plan and organize work independently, and high attention to detail

Other Requirements:

  • The candidates should have completed a 1-year certificate in records management, library studies, or a related field and possess at least 3 years of related experience
  • The candidates should have experience using electronic information management applications and a working knowledge of the Freedom of Information and Protection of Privacy (FOIP) Act
  • The candidates should have intermediate proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint) and Adobe Acrobat is required. Familiarity with SharePoint, Content Server, Microsoft Teams, and OneDrive
  • The candidates should demonstrate the ability to handle confidential issues with tact and diplomacy
  • The candidates should provide a security clearance and proof of qualifications

Responsibilities:

  • The candidates should be able to provide advice, support, and direction on records and information management best practices and matters related to access and privacy
  • The candidates should be able to coordinate responses to formal FOIP access requests and information disclosures as legislated by the FOIP Act
  • The candidates should be able to monitor and administer security access and permissions to shared drives, physical objects, and Content Server libraries for electronic records
  • The candidates should be able to provide guidance to IT staff on Privacy Impact Assessments and related privacy risks, mitigations, and requirements prior to the implementation of new projects or business processes
  • The candidates should be able to deliver staff training on the management of information, customized records management procedures, and the application of IT standards for indexing, naming standards, classification, retention, and/or disposition of information and records
  • The candidates should be able to promote staff awareness on records and information management bylaws, policies, standards, and procedures and manage records under different corporate repositories, including shared drives, Content Server, SharePoint, Microsoft Teams, OneDrive, and email
  • The candidates should be able to investigate, contain, and report on privacy breaches within IT
  • The candidates should be able to liaise with Access and Privacy on questions related to the FOIP Act and requirements for the Privacy Impact Assessments and with Corporate Security on audit findings related to records integrity and accuracy and recommendations related to the Information Management and Security policy
