Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have completion of post-secondary education in business administration and paralegal studies
Experience: Candidates should have a minimum of three years’ experience in a customer service or administrative office environment, preferably with municipal, legal, and licensing experience

  • The candidates should have the ability to interact with the public, elected officials, and other parties in a positive, professional, and confidential manner
  • The candidates should demonstrate initiative and the ability to respond effectively and promptly to requests from members of the public
  • The candidates should demonstrate the ability to work effectively in a team environment, effectively handle multiple tasks and changing priorities within a fast-paced environment

Other Requirements:

  • The candidates should have a related field with equivalent combinations of education and experience
  • The candidates should have knowledge of City by-laws, excellent written and verbal communication skills
  • The candidates should be proficient in Microsoft Office (Word, Excel, PowerPoint); previous experience with the AMANDA system, show a strong commitment to delivering quality customer service

Responsibilities:

  • The candidates should be able to provide excellent front-line customer service via telephone, e-mail, and front counter by promptly responding to inquiries and complaints and recording interactions in the AMANDA database
  • The candidates should be able to provide information to the public on City of Waterloo regulatory by-laws and promote compliance with municipal regulations
  • The candidates should be able to provide investigating officers with complaint information and assistance as required to support enforcement activities
  • The candidates should be able to process and administer parking tickets, issue reminder notices to registered vehicle owners, and manage outstanding parking ticket records
  • The candidates should be able to complete screenings and assist with hearings under the Administrative Monetary Penalties (AMP) program
  • The candidates should be able to process, administer, and approve license applications and payments, and accurately record all transactions in the database
  • The candidates should be able to process, administer, and approve sign permit applications and payments while maintaining accurate database records
  • The candidates should be able to provide administrative support to the division, including minute taking, maintaining web pages, compiling statistics, maintaining automated telephone lines, ordering office supplies and uniforms, preparing documentation and mailings, and assisting with ads and educational materials
  • The candidates should be able to assist in planning and organizing meetings for staff, committee members, and public meetings
  • The candidates should be able to complete Freedom of Information (FOI) requests and searches as received, ensuring compliance with legislation, perform other duties as assigned to support divisional operations
