Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have a completed 1 year certificate in construction, business administration or accounting
Experience: Candidates should have at least 5 years of related experience, in construction, business administration or accounting

Other Requirements:

  • The candidates should have an intermediate proficiency with Microsoft Office (Excel, Word, Outlook, and PowerPoint)
  • The candidates should have previous experience using PeopleSoft Financial and Supply Chain Management, Business Objects, and SharePoint (or equivalent systems)
  • The candidates should have experience working in a construction environment
  • The candidates should demonstrate the ability to multitask and manage constantly changing priorities
  • The candidates should possess exceptional communication and interpersonal skills, with the ability to build and maintain relationships
  • The candidates should demonstrate customer focus, problem-solving abilities, and a strong attention to detail

Responsibilities:

  • The candidates should be able to provide day-to-day and specialized administrative support to Facilities Program Planners, Interior Designers, Interior Construction Administrators, and Leaders
  • The candidates should be able to prepare documents and correspondence (for example: letters, memos, charts, PowerPoint presentations, and legal documents) and able to edit and format documents initiated by others and work to prepare a final version
  • The candidates should be able to perform financial reconciliation for general ledger entries and tracking sheets, audit, and identify discrepancies for the Project Manager/Leader to resolve
  • The candidates should be able to draft City of Calgary form responses (such as procurement and transfer forms) for the Project Manager/Leader and able to liaise with vendors regarding invoicing, as required
  • The candidates should be able to book internal and external meetings and prepare agendas and meeting minutes as necessary and able to create requisitions, purchase orders, and coordinate project requirements of Supply and other business units as necessary
  • The candidates should be able to process accounts payable invoices, track status, and confirm vendor payment as requested
  • The candidates should be able to create reports from PeopleSoft/Business Objects and databases, maintain master project records and base information, and administer and update SharePoint
  • The candidates should be able to maintain current process models, validating links, and managing comments for improvement and able to provide ongoing support and user training for systems
