Requirements:
Languages: Candidates must have knowledge of the English Language
Education: Candidates need standard educational qualifications such as a Secondary (high) school graduation certificate or equivalent experience
Experience: Candidates should have considerable experience in the relevant field
Physical Requirements:
- The candidates should be legally entitled to work in Canada
- The candidates should possess and maintain a satisfactory Criminal Record Check with Vulnerable Sector Search
- The candidates should provide a satisfactory Child Abuse Registry Check and Adult Abuse Registry Check
- The candidates should be able to provide and maintain a satisfactory Enhanced Security Screening

- The candidates should coordinate staff scheduling activities to ensure staff availability for planned absences
- The candidates should perform clerical and administrative duties in an office environment, including data entry, preparing specialized or highly complex documents, processing detailed documentation, and maintaining manual and electronic files
- The candidates should work with a high level of accuracy, thoroughness, and attention to detail
- The candidates should manage highly sensitive and confidential information and demonstrate effective analytical and problem-solving skills
- The candidates should exhibit effective written communication skills, including drafting and editing correspondence or other communications
- The candidates should communicate clearly and professionally with internal and external stakeholders and enter high volumes of data into several databases with accuracy
- The candidates should display excellent time management and organizational skills, prioritizing competing workload demands to meet deadlines
- The candidates should be proficient with MS Office (Outlook, Word and Excel) and other computerized database applications
Responsibilities:
- The candidates should be able to coordinate staff scheduling activities to ensure replacement staff availability for planned absences
- The candidates should be able to schedule leave and initiate replacement staffing activities for all scheduled absences such as vacation
- The candidates should be able to respond to short notice requests for staff absences, providing explanations for refusal to authorize individual requests
- The candidates should be able to maintain records of scheduled hours for part-time staff on a daily basis to ensure that total hours do not result in overtime costs
- The candidates should be able to ensure that shifts for replacement staff result in appropriate rest periods
- The candidates should be able to record all refused and unavailable status calls to part-time staff
- The candidates should be able to liaise with section heads and staff trainers regarding future plans to determine the feasibility of proposed training schedules
- The candidates should be able to act as a relief for other admin or clerical staff in their absence
