Requirements:
Languages: Candidates must have knowledge of the English Language
Education: Candidates should have Grade 12 education or Graduation from a recognized business college or post secondary institute
Experience: Candidates should have Two years’ related senior secretarial experience
Physical Requirements:
- The candidates should be capable of working with minimal supervision
Other Requirements:
- The candidates should have an equivalent combination of education and experience and have experience in supporting management in a unionized setting, including application of collective agreements and relevant policies
- The candidates should have experience using CMMS (computerized maintenance management systems), WRR (work request registry), and SAP software
- The candidates should demonstrate proficiency with typing, use of office equipment, and computer and Microsoft Office use (particularly Excel) and SAP
- The candidates should possess the ability to deal courteously and tactfully with the public and other civic employees and have the ability to handle sensitive information in a confidential manner
- The candidates should demonstrate the ability to compile and coordinate information to compose correspondence and reports
- The candidates should have the ability to establish and maintain effective working relationships
Responsibilities:
- The candidates should be able to provide professional, confidential, administrative, and executive secretarial support to the Roadways, Fleet and Support, and Water and Waste Operations Departments efficiently and effectively
- The candidates should be able to prepare, edit, and circulate a variety of correspondence, including those of a confidential nature, on behalf of the management groups accurately and in a timely manner
- The candidates should be able to assist with administrative tasks for annual performance assessments for management staff in the Department Sections accurately and with attention to detail
- The candidates should be able to oversee the processing of memos, reports, internal and external correspondence to ensure compliance with corporate standards and assist in the preparation of presentations efficiently
- The candidates should be able to receive, screen, and expedite telephone, written, and in-person inquiries promptly and determine appropriate action
- The candidates should be able to maintain office equipment and manage office supplies efficiently to ensure smooth office operations and able to ensure accurate filing and record management system use and compliance with corporate records policies with attention to detail
- The candidates should be able to assist in planning and coordinating special events for the Departments effectively and able to coordinate with the planning and implementation of recall and new hire of seasonal staff efficiently
- The candidates should be able to oversee and coordinate payment of invoices, fees, departmental purchase orders, purchase requisitions, and service entry sheets accurately and in a timely manner
- The candidates should be able to compile and record data into the Enterprise Asset Management program and prepare various reports and summaries using operational and financial data accurately and effectively
