Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have knowledge and skill in customer service and administrative, scheduling, payroll processes and procedures, normally acquired through a Grade 12 education plus directly related experience
Experience: Candidates should have considerable experience in the relevant field

Other Requirements:

  • The candidates should have knowledge of and the ability to comply with policies, procedures, collective agreement requirements, and related legislation, including employment standards
  • The candidates should be willing to undergo a tuberculosis (TB) test and annual influenza immunization
  • The candidates should demonstrate organization and problem-solving skills, allowing them to work independently to complete tasks, manage competing demands in a fast-paced environment, and apply protocol and collective agreement requirements when scheduling replacement staff
  • The candidates should possess effective communication and interpersonal skills, enabling them to respond pleasantly and professionally to residents, the public, and staff. Additionally, they should be capable of providing administrative support to program areas and participating as effective team members
  • The candidates should be proficient in computer skills, including the use of software such as Microsoft Office, a time and attendance management system, and an advanced scheduler
  • The candidates should be proficient in using multiline phone systems
  • The candidates should have the ability to read, interpret, and apply policies, procedures, and collective agreement clauses
  • They should be capable of writing, proofreading, and editing correspondence and related documents (e.g., notices, thank you cards, minutes)
  • The candidates should be flexible in working shifts, weekends, and statutory holidays as scheduled
  • The candidates should provide an acceptable Police Vulnerable Sector Check (Level 3)
  • The candidates should actively support and demonstrate the Region’s values

Responsibilities:

  • The candidates should be able to perform reception and switchboard services for the Division, addressing inquiries from residents, families, visitors, and staff. They should monitor lobby activities, redirect calls/messages to the resident/staff area, and maintain the resident directory
  • The candidates should be able to process paperwork related to schedule changes, such as switches, statutory holidays, vacation, giveaways, lieu time, and availability. They should input changes to scheduled hours into a time and attendance system for verification and approval by management, verifying hours worked, and submitting them to the manager for approval. Additionally, updating the master schedule with changes is essential
  • The candidates should be able to collect staff availability data and update the active schedule, liaising with management regarding staffing requirements. They should respond to staff inquiries about the distribution of hours, staff availability, and scheduling
  • The candidates should be able to prepare staff identification badges and maintain a daily staffing roster for resident care, ensuring a full complement of staff
  • The candidates should be able to provide administrative support to program areas, including fundraising activities and promotions. This includes printing materials, taking meeting minutes, and booking rooms. They should also update meeting room lists/notices
  • The candidates should be able to process mail and faxes, distribute newspapers and newsletters, and maintain the care/custody of keys for various areas such as vehicles, gift shop, bar, hairdressing, and tuck shop
  • The candidates should be able to maintain building binders for policies and procedures (e.g., communication, standby) and order office supplies for the Division within guidelines or for management approval
  • The candidates should be able to contact community agencies to exchange information
  • The candidates should be able to respond to emergency situations as outlined in policies and procedures
  • The candidates should be able to perform related duties as assigned
