Requirements:
Languages: Candidates must have knowledge of the English Language
Education:Â Candidates should have completion of a certificate in office administration, paralegal, conveyancing and legal assistance
Experience: Candidates should have 3 years of experience in the relevant field
Physical Requirements:
- The candidates should be able to sit with arms unsupported while keyboarding and work environment is an office setting
- The candidates should be able to focus on a variety of source data and computer screens for short periods

Responsibilities:
- The candidates should be able to perform various administrative services to support the operational and administrative success of the Strategic Real Estate department and support the creation of reports, letters, memos, presentations, and various project initiatives
- The candidates should be able to compile and submit payroll time entries, track staff vacation, coordinate travel arrangements, schedule appointments and meetings, procure office supplies, organize professional development activities, and oversee the management of incoming mail and email
- The candidates should be able to reconcile purchase cards, manage work orders, and prepare purchase order requisitions
- The candidates should be able to monitor and track compliance requirements of commercial tenant agreements, manage and maintain lists, spreadsheets, and track timelines with precision
- The candidates should be able to retrieve, compile, and disseminate strata property fees, minutes, and depreciation reports
- The candidates should be able to perform searches using online systems and internal City Archives, such as Corporate Registry and Land Title and Survey Authority title searches, using knowledge of covenants, encroachments, and strategic rights-of-way
- The candidates should be able to retrieve, compile, and provide information as requested by internal and external clients
- The candidates should be able to manage and maintain paper and digital filing systems in Prospero and SharePoint, and those required by Legislative Services for executing legal agreements
- The candidates should be able to assist with the preparation of tender documents, track budget expenditures, accounts receivable, and accounts payable
- The candidates should be able to operate a variety of office equipment such as multifunctional printers, scanners, and copiers, and arrange for equipment servicing
