Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have completion of a Grade 12 diploma
Experience: Candidates should have work experience in a secretarial and clerical position

Physical Requirements:

  • The candidates should have the ability to work with integrated software packages
  • The candidates should have the ability to use discretion and sensitivity to treat all office matters and information confidentially

Other Requirements:

  • The candidates should have the ability to initiate, organize, and complete work assignments with minimal supervision

Responsibilities:

  • The candidates should be able to perform general reception and telephone duties and direct them to appropriate staff and locations and manage correspondence including letters, faxes, e-mails, newsletters, and other correspondence as required by staff and coordinate office responsibilities and perform public address system duties, including opening and messaging and and book the use of school facilities
  • The candidates should be able to generate, distribute, and file forms, reports, student reports suspension letters, violent incident reports, accident reports, staff minutes, work orders and contact parents regarding emergency situations such as illness, injury, or school closures
  • The candidates should be able to maintain current and accurate student information using the PowerSchool database for student records, attendance, reporting, and student information forms and prepare materials for registration and carry out student registration (including the school handbook, student forms, and course selection guide)
  • The candidates should be able to collect student information, such as birth certificates, health cards, and immunization records and provide the transportation department with required student data
  • The candidates should be able to manage the Ontario Student Record (OSR) and carry out the Safe Arrival policy and and post lists of students with “emergency” medical and schedule parent interviews and distribution of student assessment materials (such as exams and EQAO materials) and and prepare student transcripts
  • The candidates should be able to prepare all materials required for student graduation and and accurate information using the SDS database and maintain purchase order records and maintain office inventory and and check all deliveries, ensuring packing slips are accurate and maintain the petty cash fund
  • The candidates should be able to collect and manage school-generated funds from fundraising campaigns such as milk programs, field trips, activity days, and book fairs and prepare monies for deposit and handle banking duties and ensure accurate financial records are kept and filed
  • The candidates should be able to complete all required reports as requested, specifically including MET reports, October, March statistical reports, enrollment, registration or attendance reports, and Board-required reports and schedule vacations and supply secretaries
  • The candidates should be able to sort and distribute incoming and outgoing mail and facilitate scheduling and assist with school events (such as photos, programs, tickets, and clinics) and issue security codes and school keys and maintain staff attendance records and may be required to arrange for substitutes
  • The candidates should be able to comply with Rainy River District School Board Policies and Procedures and adhere to the Rainy River District CUPE Local 65 Collective Agreement
